Key Responsibilities
1. Facility Management
- Manage office facilities, including housekeeping, security, maintenance, and utilities.
- Coordinate with vendors for AMC (Annual Maintenance Contracts), repairs, and services.
- Ensure workplace safety, cleanliness, and compliance with company standards.
- Monitor office infrastructure (furniture, equipment, meeting rooms, etc.).
- Conducting mock drills.
2. IT Asset Management (Laptops & Equipment)
- Manage procurement, configuration, and allocation of laptops, desktops, and peripherals.
- Coordinate with IT vendors for installation, troubleshooting, and maintenance.
- Maintain asset register and track inventory (issuance, returns, replacements).
- Support onboarding and offboarding processes (asset handover/collection).
3. Vendor Management
- Identify and manage vendors for admin-related services (courier, stationery, facility, IT support).
- Negotiate contracts and ensure cost-effective procurement.
- Monitor vendor performance and ensure SLA compliance.
- Process vendor invoices in coordination with accounts.
4. Procurement & Inventory
- Handle purchase of office supplies, stationery, and consumables.
- Maintain stock levels and avoid shortages/excess.
- Prepare purchase orders and track deliveries.
5. Travel & Logistics Support
- Coordinate travel bookings (flights, hotels, transport).
- Arrange local transport and logistics for employees and visitors.
- Support company events, meetings, and conferences.
6. General Administration
- Manage office correspondence, courier, and documentation.
- Assist in policy implementation and compliance.
- Support HR in employee engagement activities and office events.
- Handle insurance coordination (if applicable) for assets and facilities.
- Employee attendance tracking.
- Insurance renewals.
Qualifications & Skills
- Bachelor's degree in Administration, Business Management, or related field.
- 5 years of experience in administration or facility management.
- Basic knowledge of IT asset handling (laptops, networks, troubleshooting coordination).
- Strong vendor management and negotiation skills.
- Good organizational and multitasking abilities.
- Proficiency in MS Office (Excel, Word, Outlook).
