Job Description
Under the general guidance of Head of Administration, the Admin Coordinator plays a key role in supporting the efficient daytoday administrative operations. This role is critical in ensuring smooth business support services for Asia operations by maintaining strong coordination, compliance, and service standards across administrative functions. Success in this role requires strong attention to detail, excellent organisational and communication skills, a proactive approach, and the ability to manage multiple priorities in a dynamic environment, while consistently delivering high service standards.
Responsibilities
Vendor Management
- Keep the vendor database updated and ensure all service contracts are current and properly documented.
- Raise purchase orders and verify invoices for contractbased vendors.
- Conduct due diligence for new vendors, reassess existing vendors, and maintain an updated Approved Vendor List (AVL).
- Review and update procurement procedures, forms, and related documentation.
Insurance
- Manage all nonHR insurance matters, including annual renewals and daily administrative support for PII, PPL, PAR, and CPL.
- Work with AJG on insurance queries and requests from business units, ensuring adequate coverage.
- Provide travel insurance data to HR for annual renewal and coordinate travel insurance claims with Acclaim.
- Check the accuracy of issued insurance certificates (especially PII, over 70 certificates annually).
- Organize and maintain insurance documents in Admin_Restricted and BD SharePoint for easy retrieval.
CorpPass SubAdmin & membership
- Maintain an uptodate list of all active Netrust users.
- Verify, process, and coordinate membership matters with respective organizations.
- Maintain the membership list and update relevant contact information.
- Handle annual renewals, including SBF (for 5 entities) and ACES (for WSPC).
Others
- Workplace Canopy - Manage and update the SGAdmin section of the Canopy website. Liaise with Asia Marcomm when issues fall outside SG Marcomm's scope.
- Offsite storage - maintain accurate records of all items stored offsite.
- Corporate filings Liaise with Legal to provide administrative support related to corporate secretarial matters.
- Prolease - Update ProLease records as required.
- E-library - Manage and maintain the internal elibrary.
- Others to be assigned from time to time.
Qualifications
- Typical 10+ years of experience in business administration.
- Degree holders in business administration, or management related fields.
- Excellent communication and interpersonal skill
- Ability to work with different countries and multi-tasks.
- Good skills in Microsoft Office
- Familiar with Office 365
