We are seeking a highly skilled and detail-oriented
Senior Bookkeeper to manage day-to-day accounting operations across multiple entities. This role requires deep expertise in
QuickBooks Online (QBO) and
Bill.com, strong 1099 compliance knowledge, and experience handling multi-entity financial reporting and tax preparation support. The ideal candidate has 5+ years of full-cycle bookkeeping experience, thrives in a structured environment, and understands GAAP fundamentals, inter company accounting, and compliance regulations.
Key Responsibilities
QuickBooks Online (QBO)
- Manage books across multiple QBO companies
- Perform reconciliations, journal entries, intercompany transactions, and monthly closes
- Reconcile 50+ bank and credit card accounts monthly across various institutions
- Generate monthly financial statements (P&L, Balance Sheet, Cash Flow) for each entity
- Maintain chart of accounts, vendor records, bank feeds, and QBO integrations
- Coordinate WITH_REPLACED external CPA firm on year-end close and tax preparation
Bill.com / Accounts Payable
- Process invoices and manage approval workflows in Bill.com
- Set up vendors, collect W-9s, and maintain accurate payment records
- Sync Bill.com to QBO daily and resolve discrepancies
- Monitor payment schedules to prevent late fees and duplicate payments
1099 Compliance
- Maintain vendor 1099 files and W-9 records across all entities
- Prepare and file 1099-NEC and 1099-MISC annually
- Perform TIN validation and maintain audit-ready vendor records
General Operations
- Maintain a bank account-to-entity mapping matrix
- Organize digital documentation (corporate docs, bank statements, tax records)
- Support onboarding of new entities (EIN setup, QBO configuration, bank linking)
- Prepare documentation for external audits as needed
Must-Have Qualifications
What We're Looking For
- 5+ years of full-cycle bookkeeping experience
- Experience managing 10+ entities simultaneously (multi-entity or family office preferred)
- Expert-level proficiency in QuickBooks Online
- Hands-on Bill.com experience (invoice processing, approval workflows, vendor management, QBO sync)
- Experience filing 1099-NEC and 1099-MISC across multiple entities
- Strong Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, data cleanup)
- Strong understanding of GAAP, accrual vs. cash accounting, and intercompany transactions
- Reliable remote setup WITH_REPLACED stable internet availability during business hours (ET preferred)

- Payroll platform experience (Gusto, ADP)
- Experience in trust, estate, or nonprofit bookkeeping
