Job Overview
The Senior Counsellor will play a central role in guiding students through the complete journey of applying to German public and Italy public universities. This position focuses heavily on one-to-one counselling, accurate profile assessment, precise shortlisting of eligible programs, and ensuring finalization of high-quality applications for undergraduate and postgraduate admissions. The counsellor must have deep expertise in Germany's higher education system, Uni-Assist procedures, APS requirements, and the end-to-end application cycle.
-Key Responsibilities
1. Student Counselling & Profile Evaluation
* Conduct detailed counselling sessions to understand student goals, academic background, budget, language proficiency, and future career plans.
* Perform comprehensive profile assessments, including evaluation of:
* Academic transcripts, backlogs, and GPA/percentage
* English proficiency (IELTS/TOEFL/PTE)
* German language levels (A1C1)
* Work experience, internships, research work
* Visa readiness, financial preparedness, motivation
* Educate students on the structure of Germany's public university system, differences between TU/HAW/FH, and program-specific requirements.
* Explain major pathways such as direct admission, Studienkolleg, and APS certification based on country and qualification.
2.University & Program Shortlisting
* Create a personalized shortlist of suitable public universities and courses based on student eligibility, academic gaps, admission competitiveness, and deadlines.
* Match student profiles with correct program requirements, such as:
* ECTS prerequisites
* Subject-specific admission restrictions
* NC (Numerus Clausus) and competitive entries
* Uni-Assist vs. direct university application criteria
* Pre-assessment (Vorprfungsdokumentation VPD) needs
* Ensure shortlisted programs align with student interests AND realistic admission chances.
* Provide clear reasoning to students for why each shortlisted university is selected.
* Maintain an updated database of programs, deadlines, eligibility rules, and documentation standards for Germany public universities.
3. Application Preparation & Finalization
* Guide students through the full documentation checklist:
* APS certificate processing
* Notarized academic transcripts
* CV in Euro pass/German format
* Statement of Purpose (SOP) and Motivation Letter
* Letters of Recommendation (LORs)
* Proof of language (IELTS/PTE/TOEFL/TestDaF/DSH)
* Work experience certificates
* University-specific application forms
* Review each document for correctness, completeness, grammar, formatting, and alignment with university requirements.
* Coordinate with students to complete Uni-Assist applications, including:
* Account creation
* Document upload
* Program selection
* Payment and postal submissions (where required)
* Prepare application tracking sheets with deadlines and status updates.
4. Counselling Throughout the Application Lifecycle
* Provide continuous support and guidance from the shortlisting stage until application acceptance or rejection.
* Clarify university communication, guide on supplementary requirements, and assist with follow-up emails.
* Counsel students on next steps after receiving admissions (acceptance, enrollment, visa documents, etc.).
* Manage expectations by clearly explaining possible outcomes, competition levels, and alternative pathways.
Shortlist Review, Verification & Final Approval
* Conduct a final verification of the shortlisted universities to ensure:
* Full compliance with qualification requirements
* Correct deadlines (summer/winter intake)
* Accurate match with student documents
* Verified academic crite
