Job Description

They will be responsible for maintaining and monitoring all leads passed onto the BDMs and Inside sales executives;

  • incoming leads to be allocated to each individual and then monitored to ensure that they have been actioned and input to the leads database in PIV.
  • Leads passed onto the BDMs from the Inside sales team to be closely monitored to ensure timely follow up and call records

Key Responsibilities:

  • Meeting Tracking & Reporting: Monitor and track the number of achieved meetings per Business Development Manager (BDM) monthly. Maintain a detailed spreadsheet for use in half-yearly and annual appraisals, providing clear performance insights.
  • Documentation Management: Coordinate with all sales personnel to ensure every agreement, contract, and Memorandum of Understanding (MOU) has correct paperwork. Establish and maintain a specific, accessible storage system for these documents, facilitating easy retrieval for audits or dispute resolution.
  • Lead Database Management: Work closely with Sales Heads and Marketing to identify and manage quality sales lead databases. Once purchased and actioned, provide weekly reports on the number of clients contacted and revenue generated from these leads.
  • CRM Database Cleanup: Collaborate with Marketing and Business Systems Resources (BSR) to clean up the Pivotal database. Ensure clients and prospects are easily identifiable by industry and sector, which will support more targeted marketing campaigns.
  • Sales Paperwork & Reporting Optimization: Ensure all BDMs and Inside Sales Executives consistently complete their paperwork correctly, including AOFs (Agreement Order Forms), discount forms, and MOUs. Work with the team to develop and implement more effective weekly/monthly sales report templates.
  • Payment Coordination: Collaborate with the Finance department to monitor client payment statuses. For overdue payments, coordinate with the relevant BDM to follow up with their contacts, ensuring timely collections.
  • Sales Visit Coordination & Induction: Coordinate sales visits for new business BDMs, including hotel bookings, car hire arrangements, and preparation of pre and post-visit reports. Additionally, work with the team to prepare a comprehensive Induction Process for new starters, covering training and development plans for their first year.

Required Skills:

  • Proficiency in Adobe Photoshop, Excel, and PowerPoint.
  • Excellent written and verbal English communication skills.
  • A self-starter with the ability to take initiative.
  • Good communicator, capable of clear and concise interaction.
  • Well-organized with strong attention to detail.
  • Ability to analyze data and produce insightful reports.
  • Demonstrates a willingness to learn and contribute to the company's success.
