Job Description

Position: Sales Operations Specialist

Company: CyberAssure www.cyberassure.one

Location: Gurgaon Sector 49 , Sohna Road

Experience : 2- 4rs +

Salary range: upto 10 Lacs

Joining time: Immediate Joiners 30 days Buyout Option Available

About the Role

We are looking for a highly organized and proactive Sales Coordinator who thrives in a fast-paced environment and loves bringing structure to sales operations.

In this role, you will work closely with the sales team to manage proposals, coordinate deals, track documentation, handle client portals, and ensure nothing falls through the cracks. If you are someone who enjoys ownership, follow-ups, and keeping sales processes running smoothly then this role is for you.

What You'll Do

Keep Sales Moving

נCoordinate closely with the sales team to ensure smooth deal execution

נProcess Purchase Orders (POs) and maintain accurate sales records

נTrack deals, documentation, and internal / OEM approvals

Proposals & RFP Responses

נPrepare sales proposals and commercial documents

נRead and analyze RFPs/RFQs

נCoordinate with internal teams to compile strong and timely responses

CRM & Sales Records

נMaintain clean and updated CRM records for leads, proposals, and opportunities

נTrack sales activity and help maintain pipeline visibility

Invoicing & Payment Follow-ups

נCoordinate with finance to raise invoices

נTrack invoice status and follow up with clients on payments

נMaintain collection trackers and ensure timely closures

Vendor & Client Portal Management

נManage vendor/supplier portals for clients and partners

נUpload proposals, documents, compliance information, and invoices

נEnsure deadlines and submissions are never missed

Meeting Coordination

נDocument and circulate Minutes of Meeting (MOMs) with clear action items

נFollow up internally to ensure actions get completed

OEM/ Partner coordination:

נCoordinate with OEMs/technology partners for quotations, pricing approvals, & proposal inputs.

נManage OEM deal registrations and track approval status.

נFollow up with OEM teams for technical documents, compliance certificates, and product information required for proposals/RFPs.

נTrack partner quotes, validity, and pricing to ensure accurate submissions.

נManage OEM/partner portals for deal registrations and documentation updates.

What We're Looking For

2+ years experience in Sales Coordination / Sales Operations

Strong skills in proposal creation, documentation, and follow-ups

Experience managing RFPs, invoices, and payment tracking

Comfortable working with CRM systems and Excel trackers

Someone who is detail-oriented, organized, and relentless with follow-ups

Bonus Points

Experience in cybersecurity

Exposure to vendor portals and enterprise procurement processes
