Job Description

The Sales Coordinator plays a vital role in supporting the sales team by managing schedules, maintaining key documentation, coordinating with internal and external stakeholders, and ensuring smooth communication across departments. This role involves handling customer accounts, processing orders, monitoring payments, and providing timely after-sales support to ensure customer satisfaction and operational efficiency.

Roles & Responsibilities:

  • Customer Creation:
  • Manage new party creation, CAF enhancement (CAF & DAF) activities.
  • SPA & SO Release:
  • Handle all SPAs for the branch.
  • Prepare and send quotations as per instructions from sales representatives.
  • Follow up with the Accounts team for Sales Order (SO) release.
  • Track blocked and open SOs and coordinate with the sales team for resolution.
  • Payments:
  • Verify trade partner accounts and ensure timely collections.
  • Collect cheques from the sales team and submit them to the Accounts department.
  • Handle cheque deposits for trade partners.
  • Return Goods & Credit Notes:
  • Coordinate with SCM, Accounts, and field staff to resolve CNs related to short supplies and other sales-related issues.
  • Process and track credit notes.
  • Schemes:
  • Manage approval processes for Mason, Counter, and Painter promotional meets.
  • Coordinate with HO for monthly promotional material requests and scheme approvals.
  • Reports:
  • Prepare and submit all required reports to BM, RM, or HO as per requirements.
  • Conveyance:
  • Verify sales team's monthly expense statements and submit them to the Accounts department.
  • Coordination:
  • Coordinate with the sales team, HO, and branches for smooth operations.
  • Provide necessary data and support to the sales team.
  • Other Responsibilities:
  • Maintain and update databases of architects, masons, and other key contacts.
  • Follow up on payment reminders with customers.
  • Prepare various reports and ledger statements for channel partners as requested.
  • Send attendance sheets to HR and assist in recruitment processes, including arranging interviews, forwarding documents, and following up on offer and appointment letters.

Requirements:

  • Bachelor's degree in Business Administration, Commerce, or a related field.
  • 24 years of experience in sales coordination, customer support, or back-office sales operations.
  • Strong understanding of sales order processes, credit notes, and payment follow-ups.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and ERP/SAP systems preferred.
  • Excellent organizational and multitasking skills with attention to detail.
  • Ability to coordinate effectively with cross-functional teams.
