Role Summary

The Sales Coordinator will be responsible for providing administrative and operational support to the sales team, ensuring smooth execution of sales processes and fostering excellent client relationships. This role also involves managing sales data, supporting tender processes, and preparing proposals and quotations.

Key Responsibilities

Sales Support:

  • Assist the sales team with preparing proposals, presentations, and contracts.
  • Handle inquiries from customers and route them to the appropriate team member.

Order Management:

  • Process sales orders and ensure accurate and timely invoicing.
  • Coordinate with the logistics and operations team to ensure on-time delivery.

Sales Data Management:

  • Maintain and update the Customer Relationship Management (CRM) system.
  • Generate and analyze sales reports, dashboards, and performance metrics.
  • Ensure data accuracy and integrity in all sales-related systems.

Tender Support:

  • Assist in the preparation of tender documents.
  • Coordinate with other departments, including Finance and Operations, to gather necessary information.

Proposal and Quote Preparation:

  • Prepare accurate and competitive quotations and proposals for customers.
  • Collaborate with the sales team to tailor proposals to customer needs.

Customer Relationship Management:

  • Maintain and update customer records in the CRM system.
  • Act as a point of contact for clients, addressing queries and resolving issues.

Reporting and Documentation:

  • Prepare regular sales reports and dashboards for leadership.
  • Ensure all sales documentation is complete and organized.

Coordination:

  • Schedule meetings, demos, and travel arrangements for the sales team.
  • Collaborate with marketing for promotional campaigns and lead management.

Process Improvement:

  • Suggest and implement process improvements to enhance sales efficiency.
  • Monitor adherence to company policies and guidelines.
Qualifications
  • Education: Bachelor's degree in Business, Marketing, Engineering, or a related field.
  • Experience: 1–3 years in sales coordination, sales support, or administrative roles.
  • Skills:
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Familiarity with CRM tools (e.g., Salesforce, Zoho CRM).
Preferred Qualifications
  • Experience in B2B, B2G
  • Knowledge of sales processes and basic analytics.
