Job Title: Sales Coordinator (HVAC/Industrial Chillers)
Location: Bangalore
Department: Sales & Marketing Reports to: Sales Manager / Director of Sales
Job Purpose
To streamline the sales cycle by providing high-level administrative and technical support. You will ensure that quotations for various chiller types (Air-cooled, Water-cooled, Scroll, or Screw) are accurate, orders are processed efficiently, and customer queries are handled with technical precision.
Key Responsibilities
1. Lead & Inquiry Management
Act as the first point of contact for inquiries coming from B2B portals (Indiamart, TradeIndia), the company website, or direct walk-ins.
Filter leads based on technical requirements (e.g., Tonnage/TR, refrigerant type, or application).
Maintain and update the CRM (Customer Relationship Management) database for the Bangalore region.
2. Quotation & Proposal Preparation
Coordinate with the design/engineering team to understand specific project BOQs (Bill of Quantities).
Prepare and dispatch technical commercial offers and proforma invoices.
Ensure pricing is in line with current raw material costs (steel, copper, compressors).
3. Order Processing & Logistics
Track the status of orders from Negotiation to Production to Dispatch.
Coordinate with the factory floor in Bangalore to provide customers with realistic delivery timelines.
Liaise with logistics partners for the transportation of heavy equipment to client sites.
4. Post-Sales & Documentation
Manage the documentation required for industrial sales, including Tax Invoices, E-way bills, and Warranty certificates.
Coordinate with the service team to schedule the Commissioning and Installation of the chiller at the client site.
Follow up on outstanding payments and statutory forms.
Required Skills & Qualifications
Education: Bachelor's degree (B.Com, BBA, or BSc). A Diploma in Mechanical Engineering or HVAC is a significant advantage.
Experience: 2–5 years in a sales support or coordination role, ideally within HVAC, Refrigeration, or Heavy Machinery manufacturing.
Technical Proficiency: * Expertise in MS Excel (for tracking sales data and aging reports).
Familiarity with ERP software (like SAP, Tally, or Microsoft Dynamics).
Languages: Proficiency in English and Hindi is essential; fluency in Kannada is highly preferred for local vendor and contractor coordination in Bangalore.
Soft Skills: Strong negotiation skills, ability to work under pressure of month-end targets, and a detail-oriented mindset.
Typical KPIs (Key Performance Indicators)
Turnaround Time (TAT): Speed of sending quotations after receiving an inquiry (Target: < 24 hours).
Accuracy: Zero errors in technical specifications on purchase orders.
Payment Collection: Timely follow-up on receivables.
