Job Description

Purpose - Why does this role existTo oversee and ensure adherence to all safety protocols and administrative procedures across the site/organization, while managing systems like SAP and MySetu, handling MIS reports, and driving coordination across departments to support a safe and compliant workplace

Key Responsibility AreasSafety Management (EHS) 50%

  • Implement and monitor compliance with occupational health and safety regulations.
  • Conduct regular site safety inspections, risk assessments, and audits.
  • Coordinate with various departments to ensure all employees and contractors follow EHS protocols.
  • Maintain and update safety documents and records in MySetu.
  • Investigate incidents/accidents, prepare reports, and suggest corrective actions.
  • Conduct safety training, fire drills, and awareness sessions for employees and contract staff.
  • Ensure proper use and availability of PPEs, signage, and emergency equipment.
  • Liaise with local authorities and ensure compliance with statutory norms (e.g., Fire NOC, environmental clearances).

Administration & Coordination 30%

  • Manage administrative support activities such as office management, housekeeping, security, and facilities.
  • Coordinate vendor management for admin-related services (transport, catering, security, etc.).
  • Facilitate internal coordination between departments for smooth operations.
  • Monitor facility upkeep, utilities management, and ensure infrastructure availability.
  • Ensure compliance with labor and contractor regulations related to admin and safety.

Systems & Reporting 20%

  • Maintain safety-related data and documentation usingMySetuand generate periodic reports.
  • UseSAPfor purchase requisitions, service entries, inventory monitoring for safety/admin materials.
  • Prepare and circulate daily/weekly/monthlyMIS reportsrelated to safety KPIs, compliance, training status, and admin metrics.
  • Track and update documentation for audits (internal/external) and management reviews.

Key Performance Indicators

  • Timely closure of safety incidents with root cause analysis and corrective action.
  • 100% compliance in statutory safety audits and zero non-conformities.
  • On-time generation and submission of safety and admin MIS reports.
  • SAP data accuracy and timely transaction updates (PR, GRN, etc.).
  • Completion of scheduled safety drills, toolbox talks, and training sessions.
  • Vendor coordination effectiveness and cost optimization in admin functions.

Educational Background and Work Experience Education:

  • Graduate in any discipline (preferably B.Sc./B.Tech).
  • Diploma/Certification in Industrial Safety (mandatory).

Experience:

  • More than five years of experience in safety and administration functions in a manufacturing/plant environment.
  • Hands-on experience withSAP(MM or PM modules preferred),MySetuEHS tool, and MIS preparation.

Competencies

  • Good understanding of safety regulations (Factories Act, OSHA, etc.).
  • Strong coordination, communication, and interpersonal skills.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Ability to multitask and manage priorities under pressure
