Rotary International South Asia Office Overview
Rotary International South Asia Office (RISAO) provides services to more than 9000 Clubs and close to 3 lakh Rotary members spread in 7 countries in South Asia i.e. India, Nepal, Bangladesh, Pakistan, Sri Lanka, Bhutan and Maldives beside assisting Rotary International headquarters located in Chicago, IL, USA by providing guidance/dissemination of Rotary's policies and procedures to Rotary leaders in South Asia, handles legal & stewardship issues & contributions received from India as well as financial reporting of Fiscal Agents in other countries in South Asia. General Overview
Serves as the Lead for the Grants Team at SAO. Provides information and support about Rotary Foundation programs, policies, and procedures, maintaining appropriate applications/databases, ensure grant reporting compliances and support Rotarians in the South Asia region in all Foundation related activities. Co-ordinates with and assist Manager-Programs & Member Experience in smoothly coordinating the Grants activities of Rotary Foundation (India), the associate foundation of The Rotary Foundation, with all Rotary/non-Rotary constituents.
You Will Have
  • Bachelor's degree essential, commerce background preferred. Post-graduation in relevant field preferred
  • A minimum of five years of experience in member associations, volunteer management, development, or a related field (i.e., sales/marketing, public relations, non-profit management) prior volunteer management or Rotary experience strongly preferred
  • Experience of handling of Grants application and Reporting process
  • Familiarity with personal computers, CRM systems, and database applications required, including advanced experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong inter-personal skills and a professional demeanor, strong commitment to customer service and proven ability in oral and written communications, including public speaking and promotional writing
  • Ability to interact with high-level international business leaders and volunteers
  • Demonstrated ability to be a self-starter, proactively schedule and manage time, and handle multiple tasks and projects in order to reach goals in a timely fashion
  • Comfort with qualitative and quantitative evaluation
  • Prior knowledge of grant related compliance in India
  • Flexibility with working hours, while having discipline to set boundaries and maintain work-life balance
  • Proficiency in Hindi and English are essential ability to understand and speak other local language(s) preferred

You Will Be Responsible For
  • Excellent written and interpersonal communication skills to effectively interact with Rotarians from different cultural backgrounds, as well as with internal staff contacts, including management.
  • Familiarity with non-profit associations and charitable tax regulations preferred.
  • Advanced knowledge of various computer applications (Word, Excel, database etc.).

  • Administers Foundation Trustee Policy, which includes consistent communication and interpretation of such policies to Rotarians.
  • Resolving Rotary grants contribution issues by way of reconciliation with the Stakeholders, Finance team, Donor Recognitions team and Payment Coordinators at WHQ.
  • Fully responsible for handling district grants application and its reporting for the South Asia Region.
  • Provides support, training and current information to other RI South Asia Office staff relating to Rotary Grants questions or issues.
  • Handles general and specific correspondence, provides reports, appropriate publications and resources , and handles phone inquiries on Rotary Grants.
  • Assists program coordinators at WHQ with communication to Rotarians about projects and/or awards sponsored or hosted by Rotarians located in India.
  • Manages requests on SHARE, SHARE allocations, SHARE balances of districts served by the RI South Asia Office.
  • Promotes good financial stewardship practices to Rotarians who are utilizing the Rotary Grants.
  • Assists in handling all crisis-management situations (e.g., late grants payment, allegation of misuse of funds) as necessary.
  • Works with Regional Rotary Foundation Coordinators, ARRFCs, and district leadership to strengthen clubs knowledge of Foundation programs and specific projects.
  • Develops and delivers presentations at club and district meetings and other meetings as assigned.
  • Coordinates with the grants team and the Finance team in ensuring that all grant projects adhere to rules and regulations as per the requirements of Rotary Foundation (India) [RF(I)], The Rotary Foundation and Indian Government. Ensures along with Manager, Programs and Member Experience that all required documents and accounts including receipts are received from the contact Rotarian of the project and handed over to Financial Services as and when required by the auditors/Income Tax authorities.
  • Coordinate with own section staff (as appropriate) for the RF(I) website related information/statistics and providing write-up summaries related to grants.
  • Provide inputs/assist the Finance section at RISAO on queries related to Grants during Audit of RF (I).
  • Assist other teams (finance/legal etc.) for RF(I) Grants related activities/audits/compliance review.
  • Oversees the work of Senior-Coordinators, grant Coordinator and Correspondent, helping them resolve complex grant report review and contribution issues, if required.
  • Assist the Manager, Programs and Member Experience in preparation of special reports/assignments, projects and presentations at Seminars, both at the district and zone levels, and field service.
  • Responsible for checking, verifying and reporting the jobs undertaken by his/her direct reports to his/her reporting supervisor/manager.
  • In the event of performance/ discipline related issues concerning his/ her direct report(s), takes full responsibility in improving performance and in supporting organizational action against any acts of misconduct.
  • Other duties as assigned.
Travel
  • Traveling to/within assigned territory approximately 7-8 times per year (including weekends) to represent Rotary International at professional meetings and events and help promote the importance of grant reporting train district and zone leadership on how to manage projects and report statutory compliances
