Introduction

As a Reservation Executive, you're the first voice of Woods At Sasan the one who shapes a guest's journey before it even begins.

You sit at the intersection of experience, accuracy, and intent, ensuring every booking reflects clarity, care, and confidence.

Your role is essential in translating curiosity into confirmed stays, guiding guests with warmth while protecting revenue integrity and operational flow.

Your mission: deliver seamless, thoughtful reservation experiences that feel as calm and intentional as the retreat itself.

Key Responsibilities
  • Handle end-to-end reservations across rooms, packages, experiences, and wellness offerings.
  • Respond to enquiries via phone, email, WhatsApp, website, OTAs, and partner platforms with clarity and care.
  • Convert enquiries into confirmed bookings by understanding guest intent and offering relevant experiences.
  • Maintain accurate reservation records within PMS and channel systems.
  • Coordinate closely with Front Office, Revenue, Sales, and Operations to ensure smooth arrival planning.
  • Ensure rate accuracy, inclusions clarity, and policy alignment across all bookings.
  • Support upselling and cross-selling of experiences, wellness therapies, and dining in a non-pushy, guest-first way.
  • Monitor booking trends, lead times, and guest preferences, sharing insights with the revenue and marketing teams.
  • Handle booking modifications, cancellations, and special requests with professionalism and empathy.
  • Uphold brand tone, communication standards, and service ethics across every interaction.
  • Ensure compliance with reservation SOPs, payment processes, and documentation requirements.

Qualifications & Skills
  • Bachelor's degree or diploma in Hospitality, Tourism, or a related field.
  • 13 years of experience in reservations or front office operations, preferably in luxury or boutique hospitality.
  • Strong communication skills calm, clear, and guest-focused.
  • Familiarity with PMS, channel managers, and OTA platforms.
  • Detail-oriented with a structured approach to handling bookings and data.
  • Ability to balance efficiency with warmth accuracy without sounding transactional.
  • Comfortable working in a fast-paced, multi-channel environment.
  • Aligned with values of mindful hospitality, sustainability, and conscious service.
