As part of our growth and expansion, we are looking for a professional, well-organized, and proactive Office Receptionist cum Executive Assistant to support senior leadership and manage front office operations.
Role Overview
The Office Receptionist cum Executive Assistant will be responsible for managing the front office, providing administrative and executive support to senior management, coordinating internal and external communication, and ensuring smooth day-to-day office operations.
The role requires excellent communication skills, professionalism, confidentiality, and strong organizational abilities.
Key Responsibilities
1. Front Office & Visitor Management
- Manage the front desk operations and ensure a professional first impression for visitors and clients.
- Handle incoming calls, emails, and inquiries efficiently and professionally.
- Welcome guests, clients, and stakeholders and coordinate meeting arrangements.
- Maintain visitor records and ensure proper office protocols.
2. Executive & Administrative Support
- Manage the daily calendar, meetings, appointments, and schedules of senior management.
- Prepare official correspondence, presentations, reports, and documentation.
- Maintain organized filing systems, documentation, and confidential records.
- Assist in preparing meeting agendas, minutes of meetings, and follow-up actions.
- Track tasks, deadlines, and ensure timely completion of assigned activities.
3. Coordination & Communication
- Coordinate with internal teams, external consultants, clients, and government authorities.
- Facilitate smooth internal communication and operational coordination.
- Support management in project coordination and follow-up activities.
4. HR & Administrative Support
- Assist with basic HR activities, documentation, and employee coordination.
- Maintain office records, vendor documentation, and administrative files.
- Support day-to-day office administration and operational management.
5. Event & Client Management
- Assist in organizing corporate meetings, client visits, workshops, and events.
- Coordinate hospitality arrangements for clients, partners, and stakeholders.
6. Travel & Logistics Management
- Arrange official travel, accommodation, transportation, and itineraries for management.
- Ensure smooth logistics for meetings, site visits, and official events.
7. Personal Assistance (Professional Scope)
- Assist senior management with personal scheduling and important reminders.
- Coordinate personal appointments, travel arrangements, and essential errands when required.
- Maintain organized records of personal documents, receipts, and bookings.
- Coordinate with drivers, household staff, and service providers when necessary.
