Job Summary
The Front Desk Coordinator is responsible for managing front office operations and ensuring smooth patient flow across OPD and IPD services. The role involves patient registration, appointment coordination, admission and discharge support, billing coordination, and maintaining a high standard of patient experience while representing the hospital professionally.
Key Responsibilities1. Patient Handling & Coordination
- Greet and assist patients and visitors in a courteous and professional manner.
- Handle patient registration forOPD and IPDservices.
- Guide patients regarding hospital departments, doctors, and procedures.
- Maintain proper queue management and patient flow.
2. OPD Management
- Schedule and confirm doctor appointments.
- Coordinate with consultants and clinical departments.
- Maintain OPD records and daily appointment logs.
- Handle walk-in patients and emergency coordination.
3. IPD Admission & Discharge
- Process patient admissions and bed allocation coordination.
- Prepare admission documentation and consent forms.
- Coordinate discharge procedures with billing and nursing departments.
- Ensure smooth patient transfer between departments.
4. Billing & Documentation Support
- Coordinate with billing team for estimates, payments, and receipts.
- Verify patient documents, insurance details, and identification records.
- Maintain accurate patient data in Hospital Management System (HMS).
5. Communication & Patient Experience
- Address patient queries and resolve concerns politely.
- Maintain confidentiality of patient information.
- Ensure professional communication via phone, email, and in person.
6. Administrative Duties
- Maintain front desk registers and reports.
- Handle incoming calls and internal coordination.
- Ensure cleanliness and organization of reception area.
Required Skills & Competencies
- Excellent communication and interpersonal skills.
- Strong coordination and multitasking ability.
- Knowledge of hospital OPD/IPD workflow.
- Basic computer proficiency and HMS software knowledge.
- Customer service orientation and problem-solving skills.
Qualification & Experience
- Graduate in any discipline (Healthcare/Hospital Administration preferred).
- 13 years experience in hospital front office or healthcare coordination.
- Experience handling OPD/IPD processes preferred.
Working Conditions
- Rotational shifts including weekends and holidays (as per hospital policy).
