Job Description: Admin Assistant (Reception)

Location: Dhankawadi, Pune

About the Role:

We are looking for a dynamic and personable Admin Assistant to manage the reception area and provide administrative support for our engineering client. As the first point of contact for clients, visitors, and employees, you will play a key role in creating a welcoming and efficient work environment. Additionally, you will supervise housekeeping staff to ensure the office premises are well-maintained and meet the company's standards.

Key Responsibilities:

  • Reception Management:
  • Greet visitors and clients professionally, ensuring a warm and positive first impression.
  • Handle incoming calls, emails, and inquiries, routing them to the appropriate departments.
  • Maintain a clean, organized, and professional reception area.
  • Housekeeping Supervision:
  • Oversee housekeeping staff to ensure cleanliness and upkeep of office spaces.
  • Assign tasks and monitor the quality of work performed by the housekeeping team.
  • Conduct regular checks to ensure all areas meet cleanliness and hygiene standards.
  • Coordinate with vendors or suppliers for housekeeping materials and equipment as needed.
  • Administrative Support:
  • Manage and schedule meetings, appointments, and conference room bookings.
  • Maintain and update office records, directories, and documents.
  • Handle incoming and outgoing mail and courier services.
  • Coordination & Communication:
  • Assist in coordinating office events, meetings, and team activities.
  • Liaise with vendors for office supplies, ensuring timely procurement.
  • Provide administrative support to various departments as needed.

Qualifications & Skills:

  • Bachelor's degree or relevant qualification in administration.
  • 3-4 years of experience in a similar role, preferably in an engineering or professional services environment.
  • Experience in supervising housekeeping staff is a plus.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and handle a fast-paced environment.
