Job Summary
We are seeking an experienced and responsible Estate Manager / Property Manager to oversee the complete management of a large residential/commercial property, resort, or township. The role involves managing day-to-day operations, maintenance, vendor coordination, resident relations, and administrative functions to ensure smooth and efficient estate operations.
Key Responsibilities
1. Property Maintenance & Operations
- Oversee daily operations including maintenance, housekeeping, landscaping, and security
- Plan and execute preventive and corrective maintenance for all systems (HVAC, electrical, plumbing, etc.)
- Conduct regular inspections to ensure property standards and safety compliance
- Manage repair works, renovations, and overall upkeep of the estate
2. Resident / Tenant Management
- Act as the primary point of contact for residents/tenants
- Address queries, complaints, and service requests promptly
- Enforce property rules and ensure a disciplined and harmonious environment
- Maintain high levels of resident satisfaction and engagement
3. Financial & Expense Management
- Track and manage property-related expenses, invoices, and payments
- Ensure timely payment of utilities, taxes, and service charges
- Assist in budgeting and cost control initiatives
4. Vendor & Contractor Management
- Identify, onboard, and manage vendors and service providers
- Negotiate contracts, monitor service quality, and ensure SLA compliance
- Coordinate services such as security, housekeeping, maintenance, and landscaping
- Maintain strong vendor relationships and performance tracking
5. Clubhouse & Facility Management
- Oversee operations of clubhouse, amenities, and common facilities
- Ensure facilities are maintained, functional, and ready for use
- Coordinate bookings, usage, and maintenance of recreational areas
6. Event Coordination (If Applicable)
- Plan and organize community events, meetings, and social activities
- Ensure proper setup, logistics, and smooth execution of events
7. Emergency & Risk Management
- Handle emergency situations such as breakdowns, safety incidents, or security concerns
- Maintain emergency protocols and contact lists
- Ensure compliance with safety and regulatory standards
8. Administrative & Reporting
- Maintain records of leases, maintenance logs, and service reports
- Prepare MIS reports and updates for management/owners
- Handle official communication with stakeholders and residents
- Ensure proper documentation and audit readiness
Required Skills & Competencies
- Strong experience in estate / property management
- Knowledge of maintenance systems (electrical, plumbing, HVAC)
- Vendor management and negotiation skills
- Good understanding of facility and clubhouse management
- Basic computer knowledge (MS Excel, Word, Outlook)
- Strong communication and interpersonal skills
- Problem-solving and decision-making ability

- Experience with real estate companies, large residential societies, townships, or resorts
- Exposure to managing large-scale properties or gated communities
