Job Description:

A Project Manager for the Professional Services team oversees the entire Pipefy's implementation project lifecycle, leading end-to-end implementation projects in a dynamic environment, ensuring on-time delivery, operational readiness, and high customer satisfaction. Acting as the bridge between clients and internal teams, you will manage scope, risks, and timelines while driving alignment across stakeholders. This highly visible role demands strong communication, structured execution, and a proactive, results-driven approach.

This is a customer-facing role.

Main Responsibilities:

  • Project Planning & Coordination:
  • Lead the end-to-end lifecycle of implementation projects, including planning, scoping, execution, go-live, and post-implementation support.
  • Develop and maintain detailed project plans, ensuring key milestones are achieved and deadlines met in line with business objectives.
  • Coordinate across multiple stakeholders, including operations, technology, product, and client services to align resources and remove blockers.
  • Product Knowledge & Troubleshooting:
  • Utilize a strong understanding of the company's product and services to proactively address technical challenges during implementation.
  • Serve as the primary escalation point for technical issues, leveraging internal teams as needed while ensuring client confidence and continuity.
  • Partner with internal teams to continuously enhance implementation frameworks and operational readiness.
  • Risk Management:
  • Identify, assess, and proactively mitigate risks across all phases of the project.
  • Develop and execute robust mitigation plans to avoid delays or disruptions in delivery.
  • Handle client objections and challenges with agility, balancing assertiveness with empathy to protect timelines and relationship integrity.
  • Stakeholder Engagement & Communication:
  • Serve as a strategic partner to both internal and external stakeholders, ensuring alignment through clear, concise, and structured communication.
  • Provide regular, executive-level updates on project status, dependencies, and risk posture.
  • Establish and manage escalation protocols for rapid issue resolution, ensuring minimal impact to project outcomes or customer satisfaction.
  • Continuous Improvement:
  • Contribute to the refinement of implementation methodologies, playbooks, and best practices to enhance scalability and efficiency.
  • Share insights and feedback to improve product capabilities and customer experience across accounts.

Requirements:

  • Proven track record managing multiple, concurrent projects in a client-facing capacity, preferably within SaaS or technology-enabled service delivery.
  • Solid understanding of enterprise implementation cycles, with hands-on experience troubleshooting technical issues and driving cross-team collaboration.
  • Expertise in project management methodologies (Agile, Waterfall, or hybrid), tools (e.g., Jira, Smartsheet, Asana, or MS Project), and reporting best practices.
  • Strong business acumen and ability to navigate complex stakeholder environments, from frontline teams to C-level executives.
  • Experience crafting and executing risk mitigation and change management plans across diverse operational settings.
  • Exceptional verbal and written communication skills in both technical and business contexts.
  • PMP or equivalent certification strongly preferred
