Job Description

Job Summary

Infrawala is looking for a proactive and detail-oriented Project Execution & Coordination Manager to oversee end-to-end project execution, compliance, procurement coordination, documentation management, quality control, and project closure activities. The ideal candidate should have strong project management skills, experience in construction/interior fit-out operations, and the ability to coordinate effectively with vendors, clients, internal teams, and site staff to ensure timely and quality project delivery.

Key Responsibilities

Procurement & Financial Coordination

• Validate and approve Purchase Requests (PRs) and vendor orders.

• Ensure all PRs are processed and approved within defined timelines.

• Coordinate with procurement and finance teams for smooth processing and vendor coordination.

• Raise PRs for initial material procurement as per execution plans.

• Ensure timely vendor allocation and PO releases.

• Monitor material delivery and site availability.

Compliance & Documentation Management

• Ensure all statutory approvals, permits, and compliance requirements are completed before project execution.

• Maintain and upload all approvals, compliance records, and project documentation on R-Dash.

• Manage builder portals, FMS submissions, and documentation processes.

• Coordinate with authorities, clients, and internal teams for necessary clearances.

Project Planning & Scheduling

• Create, update, and monitor project schedules using R-Dash.

• Prepare project timelines and execution plans within defined timelines after project sign-off.

• Track milestones and ensure adherence to project schedules.

• Prepare and upload detailed activity schedules and progress updates.

Site Execution & Monitoring

• Monitor all site execution activities, supervision, and reporting processes.

• Verify approval and upload of GFC drawings before execution.

• Allocate site supervisors for effective monitoring and coordination.

• Track Daily Progress Reports (DPRs) and update project scope changes.

• Verify material entries, documentation, and execution records in R-Dash.

• Ensure receipt of client PO/work order before project execution.

• Verify all design documents and execution drawings before site activities begin.

• Conduct safety inductions for site staff and workers.

• Ensure workforce ID issuance and implementation of site access control procedures.

Quality Control & Snag Management

• Identify, assign, monitor, and close project snags within defined timelines.

• Ensure adherence to quality standards and project specifications.

• Coordinate corrective actions with vendors and site teams.

• Monitor project quality compliance throughout execution.

Project Closure & Handover

• Oversee end-to-end project closure and handover activities through R-Dash.

• Coordinate final site inspections and completion verification.

• Ensure closure of all pending snags before project handover.

• Verify project completion as per BOQ, drawings, and contractual specifications.

• Maintain closure documents, reports, certificates, bills, and related records.

• Process final vendor billing and financial closure activities.

• Coordinate smooth client possession and project handover.

• Ensure all contractual and statutory compliances are fulfilled.

• Prepare and share final handover documentation within project timelines.

LL Inspection & Post-Handover Support

• Conduct joint landlord inspections and ensure closure of observations.

• Manage Defect Liability Period (DLP) activities and warranty tracking.

• Coordinate post-handover support, maintenance, and issue resolution.

• Ensure timely closure of maintenance and warranty-related concerns with vendors.

Required Qualifications

• Bachelor's degree in Engineering, Construction Management, Civil, Architecture, or related field.

• 3–6 years of relevant experience in project execution, coordination, or construction operations.

• Prior experience in construction, interiors, infrastructure, or fit-out projects preferred.

Required Skills

• Strong project coordination and execution management skills.

• Knowledge of procurement, compliance, and documentation processes.

• Experience in vendor and stakeholder coordination.

• Strong understanding of project scheduling and quality control.

• Proficiency in ERP/project management tools and MS Excel.

• Excellent communication and problem-solving abilities.
