Role Summary
We are looking for a highly organized, detail-oriented, and proactive Project Coordinator to drive efficient resource utilization and streamline operational processes across multiple client engagements. The ideal candidate will play a critical role in workforce planning, stakeholder coordination, and operational governance to ensure optimal delivery efficiency and business continuity.
Key Responsibilities
Resource Management & Workforce Planning
- Plan, allocate, and track resources across multiple projects to ensure optimal utilization and billability
- Maintain and regularly update resource skill matrix, availability, and allocation dashboards
- Manage onboarding, shadow resource alignment, and transitions across engagements
- Collaborate with delivery and hiring teams to address resource gaps and forecast future needs
- Resolve resource conflicts and ensure alignment with project and business priorities
Operations Management & Governance
- Drive operational efficiency by standardizing processes, tools, and reporting mechanisms
- Maintain centralized dashboards for resource utilization, capacity planning, and operational metrics
- Track and monitor timesheets, utilization reports, and operational KPIs
- Support contract lifecycle management including renewals, extensions, and compliance tracking
- Manage knowledge repositories, case studies, and internal documentation
Stakeholder & Client Coordination
- Act as a liaison between delivery teams, leadership, and clients for resource and operational updates
- Coordinate client interactions including interviews, onboarding discussions, and review meetings
- Proactively address escalations related to resource availability and operational challenges
- Track client feedback and engagement metrics to identify areas of improvement
Training & Capability Development
- Coordinate internal training programs, certifications, and skill enhancement initiatives
- Manage mock interviews, assessments, and readiness evaluations for resources
- Maintain training records and ensure alignment of workforce skills with business demand
Operational Support & Strategic Initiatives
- Support pre-sales activities by providing resource data, skill mapping, and availability insights
- Assist in recruitment coordination, interview scheduling, and onboarding processes
- Contribute to internal initiatives such as webinars, R&D programs, and organizational events
- Continuously identify opportunities for process improvement and automation
Preferred Skills & Qualifications
- 36 years of experience in Resource Management / Operations / PMO / Project Coordination
- Strong understanding of resource planning, utilization tracking, and capacity management
- Hands-on experience with tools like ClickUp, MS Excel, or similar project/resource management tools
- Excellent communication, stakeholder management, and problem-solving skills
- Ability to work in a fast-paced, multi-project environment with high attention to detail
