About the role
We're looking for a high-ownership Project Coordinator to manage a team of AI-driven Concept Artists and ensure daily asset targets are met with quality and consistency — even under pressure. This is a hands-on coordination role for someone who understands AI tools + prompting, has a strong eye for character/costume/location/prop design, and can bring structure to fast-moving workflows. You'll manage shows + asset pipelines, track output daily, identify gaps early, and keep the team aligned, motivated, and moving.
What you'll do (Responsibilities):
Project + Show Management
- Own show-level tracking: scope, asset requirements, priorities, dependencies, and delivery timelines.
- Convert briefs/scripts into clear daily tasks across characters, dresses, dress turnarounds, locations, props.
- Maintain clean dashboards for status, output, approvals, rework, and blockers.
- Daily Targets + Execution Discipline
- Set and track daily targets per artist and per show.
- Run daily check-ins, collect updates, and ensure alignment on priorities.
- Identify gaps early (quality gaps / consistency issues / bandwidth shortfalls) and course-correct fast.
AI Workflow + Prompt Operations
- Guide artists on AI image generation workflows and prompt structures.
- Standardize prompt templates, style anchors, reference usage, naming conventions, and version control.
- Support faster turnaround by improving the prompting process, batching outputs, and reducing rework.
Quality + Feedback
- Review assets at ground level and give actionable feedback on:
- character consistency (faces, silhouettes, proportions)
- dress design + turnarounds (construction logic, details, continuity)
- locations (believability, usability across scenes)
- props (story relevance, scale, style match)
- Ensure outputs feel realistic and original (not cartoonish/illustrative), as per style needs.
- Track feedback patterns and implement improvement plans.
Team Momentum + Continuous Improvement
- Build a smoother workflow inside chaos: process, structure, and accountability.
- Support training, onboarding, and performance improvement plans.
- Participate in hiring and evaluation of AI concept artists (test briefs, review criteria).
What we're looking for (Must-have)
- Strong project coordination skills: daily follow-ups, tracking, escalation, and delivery ownership.
- Clear understanding of AI image generation and prompting workflows (hands-on knowledge).
- Asset understanding across character, costume, dress turnaround, location, props.
- Strong eye for detailing and consistency; ability to give clear, respectful, actionable feedback.
- Comfort working in high-pressure, fast iteration environments.
- High ownership: you don't wait — you solve.
- Tools knowledge (any of these is a plus)
- Midjourney / Nano Banana Pro / Higgsfield / Photoshop (or equivalent workflows)
- Google Sheets or any tracking system)
Preferred (Nice-to-have)
- Prior experience coordinating asset teams (games/animation/film/AI content pipelines).
- Experience building SOPs, prompt libraries, QC checklists, and training playbooks.
- Experience working with distributed teams / freelancers.
