The Professional Services Team is looking for a proactive, detail-oriented Project Coordinator to support the planning, execution, and governance of customer implementation projects within our Professional Services organization and successful delivery of Basware software solutions and services for our global customers. This role supports Project Managers (PMs), Solution Consultants, Architects, and cross-functional teams in ensuring predictable delivery of B2B SaaS implementation projects.
You will play a critical role in project documentation, scheduling, reporting, risk tracking, customer communication, and operational supportcontributing directly to our customers onboarding and value realization journey.
In this capacity, you will help maintain project health, streamline communication, and uphold delivery discipline aligned with our Professional Services methodology
Key Responsibilities
- Assist Project Managers in executing end-to-end SaaS implementation projects, ensuring alignment with scope, timelines, and delivery methodology
- Create and maintain detailed project schedules, calendars, action item lists, RAID logs (Risks, Assumptions, Issues, Dependencies), and project documentation
- Coordinate cross-functional activities between Professional Services, Product, Customer Success, Technical Support, and Sales
- Facilitate internal and customer-facing project meetings, document minutes, and track follow-up tasks
- Act as a secondary point of contact for customers during project execution, supporting PMs in managing communications and expectations
- Maintain accurate project data in project management systems (e.g., Jira, Salesforce, MS Project, Kantata)
- Prepare weekly project status reports, dashboards, metrics (milestones, effort consumption, resource utilization).
- Track and escalate delivery risks, blockers, and dependencies to the Project Manager early, supporting mitigation planning.
- Help in ensuring SOWs, change requests, and contractual obligations are documented and adhered to
- Coordinate with Solution Consultants, Architects, and Support to ensure seamless handover into production support or Customer Success

- Bachelor's degree in Business, IT, Engineering, Project Management, or related field
- 35 years of experience in project coordination, client delivery, or operations within B2B SaaS, IT Services, or Professional Services organizations
- Experience supporting cross-functional delivery teams in matrix and global environments
- Good understanding of project management concepts (waterfall, Agile, hybrid).
- Ability to interpret project plans, timelines, and capacity/resource plans.
- Familiarity with SaaS delivery conceptsAPIs, integrations, configuration cycles, UAT, deployment.
- Proficiency in MS Office Suite (Excel, PowerPoint, Word) for reporting and documentation
