Job Description

Job Summary:

We are looking for a Project Coordinator with 23 years of experience to support the Delivery and Project Management Office (PMO). The role involves end-to-end project tracking, milestone management, coordination with internal teams and customers, and ensuring timely reporting and compliance.

The ideal candidate should be highly organized, proficient in Excel, and capable of managing follow-ups across multiple stakeholders to ensure project success and on-time payments.

Key Responsibilities:

1. Project Planning & Tracking

  • Assist Project Managers in preparing and maintaining project plans, schedules, and delivery milestones.
  • Track progress of deliverables, dependencies, and deadlines across multiple projects.
  • Identify potential risks or delays and escalate to the Project Manager.

2. Follow-up & Coordination

  • Proactively follow up with internal project teams to ensure adherence to deadlines and deliverables.
  • Coordinate with clients/customers for milestone approvals, feedback, and deliverable acceptance.
  • Track payment milestones, ensuring timely submission of invoices and follow-up until payment realization.
  • Ensure timely timesheet submissions from all project team members and escalate delays.
  • Collaborate with cross-functional teams (Delivery, QA, Finance, and Sales) to ensure smooth execution.

3. Reporting & Documentation

  • Maintain and circulate weekly/monthly project status reports.
  • Prepare management dashboards using Excel and/or PowerPoint summarizing progress, risks, and financial status.
  • Record and circulate meeting minutes (MoMs) with clear action points and ownership tracking.
  • Maintain project documentation including contracts, SoWs, change requests, and client communications.

4. Governance & Process Compliance

  • Ensure adherence to internal delivery processes and reporting standards.
  • Support tracking of resource utilization, billing efficiency, and delivery health metrics.
  • Good to have: Ability to maintain project data and ensure consistency across tools such as MS Project, Excel, Jira, or Azure DevOps.

Required Skills & Qualifications:

  • Bachelors degree in Engineering, Business Administration, or a related field.
  • 23 years of experience in project coordination, preferably within an IT or technology delivery setup.
  • Strong proficiency in Microsoft Excel (pivot tables, formulas, dashboards).
  • Excellent communication and interpersonal skills able to coordinate with clients and internal teams effectively.
  • Strong organizational skills with attention to detail and ability to manage multiple tasks simultaneously.

Preferred Attributes:

  • Basic understanding of project management methodologies (Agile/Waterfall).
  • Prior exposure to project financial tracking and milestone-based invoicing.
  • Experience in maintaining timesheet compliance and team utilization reports.
  • A self-driven, process-oriented individual who can independently manage coordination and reporting.
