Key Responsibilities
Project Lifecycle Administration
- Execute project administration tasks across assigned teams following established procedures and guidelines.
- Support project entry, BOM ordering, invoicing, reporting, and closure activities.
- Ensure all project closure documentation meets company and financial compliance standards.
- Validate documents before executing system transactions.
Data, Reporting & ERP Operations
- Gather and summarize data to support order input and project tracking.
- Generate accurate usage reports using ERP systems (SAP / IFS).
- Provide pricing and availability information for parts by coordinating with planners and systems.
- Perform ERP-based transactions with accuracy and timeliness.
Material & Order Management
- Perform material tracking, shipping, and receiving functions as required.
- Support expediting processes to reduce delays and minimize service disruption.
- Assist in managing backorders and ensuring timely fulfillment.
Invoicing & Financial Support
- Support invoice generation and ensure alignment with project requirements.
- Ensure compliance with financial policies during invoicing and closure processes.
- Assist in maintaining accurate project financial records.
Issue Resolution & Process Support
- Resolve project-related issues using business knowledge and standard guidelines.
- Escalate complex issues to team lead when required.
- Support continuous improvement in project tracking and reporting processes.
Stakeholder & Vendor Coordination
- Coordinate with internal stakeholders including project administrators, service managers, and district teams.
- Interact with vendors and external partners for issue resolution and project updates.
- Support communication to ensure project progress aligns with customer expectations.
Leadership & Collaboration
- Act as a support resource for internal teams for project-related queries.
- Participate in improving project tracking and reporting systems.
- Support change initiatives and demonstrate adaptability in process improvements.
- Collaborate with remote and cross-functional global teams.
