Since our programs are highly interactive and live-session driven, strong backend coordination and participant management play a critical role in delivering a seamless learning experience.
We are looking for a Program Operations Associate who can take ownership of session coordination, participant follow-ups, attendance tracking, and day-to-day execution support. This role is ideal for someone who is organized, proactive, good with people, and comfortable managing fast-moving operational responsibilities.
Key Responsibilities1) Participant Coordination & Follow-Ups- Connect with participants through WhatsApp, calls, and email to ensure session attendance
- Send timely reminders and follow-ups before live sessions
- Assist participants with session access, joining links, and basic coordination support
- Handle participant queries in a clear, prompt, and professional manner
2) Live Session Operations- Create and manage Zoom links for workshops, training sessions, and coaching calls
- Support live session execution, including breakout room handling and coordination during sessions
- Ensure sessions run smoothly from an operational and participant-management perspective
- Coordinate with internal teams and trainers for seamless session delivery
3) Attendance Tracking & Reporting- Maintain accurate attendance records and engagement reports
- Update participant status, follow-up records, and relevant data in internal trackers
- Monitor session participation and flag issues where required
- Ensure operational data is organized and up to date
4) Backend Operational Support- Support scheduling, coordination, reporting, and other administrative tasks related to program execution
- Work closely with different teams to improve operational flow
- Help maintain consistency in processes across multiple ongoing programs
5) Process Improvement- Identify gaps in attendance, participant engagement, and coordination workflows
- Suggest practical improvements to increase session attendance and operational efficiency
- Share recurring participant concerns and help streamline internal processes
Who We're Looking For- 1–2 years of experience in operations, coordination, customer support, client servicing, or a similar role
- Strong communication skills in English and Hindi
- Comfortable handling participant follow-ups through calls, WhatsApp, and email
- Organized, responsible, and able to manage multiple tasks at the same time
- Familiarity with Zoom, Google Sheets, and CRM tools will be an added advantage
- Must be based in Mumbai, preferably near Goregaon West, or willing to commute daily
- Own laptop is mandatory
- Must be comfortable with a Work from Office role
