Job Description

Job Description: Procurement Lead Location: Pan India (HO based, site coordination across projects) Reporting To: Directors Role Objective To lead and control end-to-end procurement, warehouse, and store operations for multiple parallel projects across India, ensuring right material, right quantity, right quality, right cost, right time, while maintaining strong cost controls, inventory discipline, and vendor governance. This role is critical to project timelines, margins, and execution predictability.

Key Responsibilities

1. Strategic Procurement Leadership Own centralized procurement strategy for all projects (civil, fabrication, f looring, electrical, sports equipment, accessories, branding). Define rate contracts, preferred vendor lists, and make/buy strategies. Drive cost optimization, value engineering, and bulk procurement advantages. Support Directors & PMC with commercial inputs during scope finalization & changes. 2. Project-Based Procurement Execution (Multi-Project) Manage procurement for multiple live projects simultaneously (pan-India). Ensure material readiness aligned with approved Milestone Sheets. Participate in: o Stage 6: Material, manpower & subcontract confirmation o Stage 7: Milestone planning alignment o Stage 8: Execution support & weekly control Prevent delays due to material shortages, vendor failures, or logistics gaps. 3. Purchase Management Oversee: o Purchase Requisitions (PR) o RFQs / Rate Comparisons o Negotiations & Finalization o Purchase Orders (POs) Ensure: o PO terms aligned with WO scope, timelines, QC specs o Clear delivery schedules & penalties Coordinate closely with: o PMs o Design o PMC o Accounts 4. Vendor & Subcontractor Management Develop & maintain: o Approved Vendor List (AVL) o Subcontractor Database Evaluate vendors on: o Cost o Quality o Delivery reliability o After-sales/service support Support PMs in subcontractor finalization & allocation. Resolve vendor escalations and performance issues. 5. Warehouse, Store & Inventory Control Lead central warehouse + multiple site stores. Define SOPs for: o Material receipt o Storage o Issue o Return o Transfer between projects Ensure: o Proper tagging & documentation o FIFO / FEFO where applicable o Zero pilferage & wastage Maintain real-time inventory visibility across projects. 6. Material Reconciliation & Closure Drive Stage 11: Material Reconciliation & Site Cleaning Ensure: o Issued vs consumed tracking o Excess material identification o Return / transfer to warehouse o Scrap identification & disposal Sign-off on: o Material Reconciliation Statements o Excess & Scrap Reports Support final project closure & audit readiness. 7. Quality & Specification Compliance Ensure procured materials strictly match: o Approved drawings o Technical specifications o Brand & quality standards Coordinate with: o QA o PM o Engineering Director Address material rejections, replacements, and claims. 8. Commercial & Financial Controls Work closely with Accounts to: o Control procurement budgets o Track PO vs WO values o Prevent scope leakage Support final invoicing & financial closure. Assist in project P&L analysis by providing accurate material cost data. 9. Process, Systems & Documentation Establish standardized documentation: o PR / PO formats o GRNs o Stock registers o Vendor evaluation sheets Ensure compliance with: o Internal procurement SOPs o Audit requirements Drive ERP / inventory system adoption (if applicable). 10. Team Leadership & Capability Building Lead and mentor: o Purchase team o Warehouse & store staff Define roles, KPIs, and accountability. Build a high-ownership, execution-oriented procurement team. Key Interfaces Internal: Directors, PMC, PMs, Engineering, Design, QA, Accounts, Sales External: Vendors, Manufacturers, Logistics Partners, Subcontractors Key Deliverables Material Confirmation Sheets Material Availability Reports PO & Vendor Finalization Inventory & Reconciliation Reports Subcontractor Allocation Support Scrap & Disposal Certificates Procurement Inputs for Project P&L Required Skills & Competencies Strong project procurement mindset Multi-project & multi-location handling Negotiation & commercial acumen Inventory & warehouse discipline Process orientation & documentation strength Ability to work under tight timelines Strong coordination & escalation management
