Position: Procurement Officer

Experience Required: 7–10 Years

Core Responsibilities

1. Vendor & Supplier Management

  • Identify, evaluate, and onboard suppliers
  • Obtain quotations and compare rates
  • Negotiate prices, payment terms, and delivery schedules
  • Maintain strong vendor relationships
  • Monitor vendor performance (quality, timelines, service)

2. Material Procurement

  • Procure construction materials (cement, steel, tiles, fittings, electrical, plumbing, etc.)
  • Ensure materials meet specifications and quality standards
  • Coordinate bulk purchasing to reduce costs
  • Track material requirements as per project schedule
  • Source vendors for complete construction lifecycle (start to finish)

3. Cost Control & Budgeting

  • Prepare cost comparisons and analysis reports
  • Ensure procurement stays within project budgets
  • Identify cost-saving opportunities
  • Avoid over-purchasing and wastage

4. Purchase Documentation

  • Prepare and issue Purchase Orders (POs)
  • Maintain records of quotations, contracts, and invoices
  • Verify bills and coordinate with accounts for payments
  • Maintain procurement reports and MIS

5. Inventory & Stock Coordination

  • Monitor stock levels at site and warehouse
  • Coordinate with site engineers and storekeepers
  • Ensure timely delivery of materials
  • Track material consumption vs. purchase

6. Internal Coordination

  • Collaborate with Project Managers, Site Engineers, Accounts, and Store teams
  • Align procurement with project timelines

7. Contract & Rate Finalization

  • Negotiate annual rate contracts
  • Review supplier agreements
  • Ensure compliance with company policies

Additional Responsibilities (Senior Level)

  • Develop procurement strategies
  • Manage risks (price fluctuations, supply delays)
  • Approve vendors
  • Lead procurement team
  • Forecast material price trends

Key Skills Required

  • Strong negotiation skills
  • Knowledge of construction materials
  • Cost analysis capability
  • Proficiency in MS Excel
  • Experience with ERP/software systems
  • Good communication skills
  • Strong market awareness
