Job Description Procurement & Purchase Officer

Location: AIMS Institutes, Peenya, Bangalore

Joining:Immediate

Position Overview

AIMS Institutes is seeking a dedicated and proactive Procurement & Purchase Officer to manage end-to-end purchasing activities across multiple categories including construction materials, stationery, uniforms, maintenance supplies, and institutional requirements. The ideal candidate will ensure cost-effective and timely procurement while maintaining quality standards and vendor compliance.

Key Responsibilities

  • Procurement & Purchasing
  • Identify, evaluate, and select reliable vendors and suppliers for all material categories.
  • Manage purchase orders, quotations, negotiations, and approvals for procurement.
  • Ensure timely procurement of construction items, stationery, uniforms, consumables, and maintenance materials.
  • Maintain accurate records of purchases, pricing, and delivery schedules.
  • Vendor Management
  • Develop and maintain strong vendor relationships.
  • Ensure vendors meet timelines, quality standards, and contractual terms.
  • Obtain competitive quotations and negotiate favourable terms, pricing, and credit periods.
  • Inventory & Material Handling
  • Coordinate with stores and department heads to understand material requirements.
  • Monitor stock levels and initiate timely replenishment.
  • Conduct periodic audits of purchased materials and stock registers.
  • Compliance & Documentation
  • Maintain complete documentation of purchases, invoices, GRNs, and contracts.
  • Ensure compliance with institutional policies and regulatory requirements.
  • Assist in drafting purchase policies, procurement SOPs, and budgeting inputs.
  • Interdepartmental Coordination
  • Coordinate with the construction team, other departments, administration, and maintenance teams for requirement planning.
  • Support urgent procurement needs and ensure smooth functioning of campus operations.

Required Skills & Qualifications

  • Bachelor's degree in Supply Chain, Business Administration, Commerce, or related field.
  • 5 years of experience in procurement or purchasing, preferably in educational institutions or construction/maintenance sectors.
  • Strong negotiation and vendor-management skills.
  • Knowledge of sourcing, market analysis, and cost control.
  • Good communication, documentation, and analytical abilities.
  • Ability to multitask and work under tight timelines.
  • Proficiency in MS Office and basic ERP/purchase management systems.
