Job Description

Job Title: Process Coordinator

Department: Operations / Merchandising / Events

Location: Delhi

Experience: 24 years (Fashion, Lifestyle industry is preferred)

Role Objective

To ensure smooth documentation, payment tracking, and statutory compliance for designers and events by coordinating closely with accounts, merchandising, and hotel partnerswhile maintaining accurate trackers, process discipline, and timely closures.

Key Responsibility Areas (KRAs)

1. Designer Documentation Management

  • Collect, verify, and maintain complete designer documentation, including:
  • Performa Invoices (PIs)
  • MOUs / Agreements
  • GST Certificates
  • TDS Declaration Letters
  • Ensure timely follow-ups and confirmations from designers
  • Maintain and regularly update designer documentation trackers
  • Ensure all documentation is compliant before payment processing

2. Payment & Commission Tracking

  • Track designer payments, commissions, and final settlements
  • Prepare and maintain detailed commission reports
  • Coordinate closely with the accounts team for payment status, approvals, and closures
  • Flag discrepancies or delays proactively and follow through to resolution

3. Tax & Compliance Coordination

  • Manage rental and commission tax invoices
  • Coordinate TDS reconciliation with the accounts team
  • Ensure GST compliance for designers and hotel partners
  • Collect, organize, and archive GST and tax-related documents for audits and reporting

4. Tracker Maintenance & Process Control

  • Maintain accurate and up-to-date trackers for:
  • Designer documentation
  • Payments & commissions
  • GST & TDS compliance
  • Ensure data accuracy, version control, and timely updates
  • Strengthen process adherence and highlight gaps or risks early

5. Cross-Functional Coordination & Admin Support

  • Coordinate with merchandising, accounts, events, and hotel partners
  • Support audit, finance, and compliance documentation requirements
  • Handle operational admin and process-related tasks as assigned
  • Act as a central point of coordination to ensure smooth backend execution

Key Skills & Competencies

  • Strong documentation and process orientation
  • High attention to detail and data accuracy
  • Working knowledge of GST, TDS, and basic finance processes
  • Proficiency in Excel / Google Sheets and trackers
  • Excellent follow-up, coordination, and communication skills
  • Ability to manage multiple stakeholders and deadlines

Preferred Background

  • Experience in fashion, lifestyle, retail, or D2C brands
  • Exposure to designer/vendor coordination and event-related operations
  • Prior experience working closely with accounts or finance teams
