Position Overview
The Print Server / Canon Flow Administrator manages the organization's print infrastructure, including Windows print servers, Canon multifunction devices, and Canon uniFLOW/Workflow solutions. This role also coordinates equipment moves, supports newsite deployments, and oversees printrelated leases to ensure smooth operations across all locations.
Key Responsibilities
Print Server Administration
- Maintain and administer Windows print servers, including queue creation, driver updates, and print spooler health.
- Monitor print server performance and proactively resolve issues affecting availability or speed.
- Configure secure print release, print policies, and access controls.
- Perform routine maintenance, patching, and upgrades.
Canon Device & uniFLOW Administration
- Configure and maintain Canon MFDs, including firmware updates and fleet monitoring.
- Manage uniFLOW/Canon Workflow systems, including user setup, secure print, scan workflows, and authentication.
- Troubleshoot print/scan routing issues, workflow failures, and device authentication problems.
- Maintain integrations with Active Directory, email systems, and document management platforms.
Workflow & Document Management
- Build and maintain automated workflows for scanning, routing, OCR, and document processing.
- Partner with business units to design or refine workflows that improve efficiency.
- Ensure compliance with document retention and security requirements.
Equipment Coordination & Site Management
- Coordinate moves, additions, and changes (MAC) for print equipment across all locations.
- Plan and execute equipment relocations, ensuring minimal downtime and proper configuration at the new site.
- Support newsite openings by:
- Assessing print needs
- Coordinating device deployment
- Ensuring network, workflow, and authentication readiness
- Work with Facilities, IT, and vendors to ensure smooth transitions during expansions, relocations, or consolidations.
Lease & Vendor Management
- Manage printrelated equipment leases, including renewals, returns, and lifecycle planning.
- Track lease terms, device counts, and contract obligations.
- Serve as the primary liaison with Canon and other print vendors for service, supplies, and escalations.
- Review vendor performance and recommend improvements or costsaving opportunities.
Support & Troubleshooting
- Provide Tier 2/Tier 3 support for print, scan, and workflow issues.
- Train end users and support teams on print/scan procedures and best practices.
- Maintain documentation for configurations, workflows, and standard operating procedures.
Security & Compliance
- Implement and enforce print security policies, including secure release and data protection.
- Monitor logs and audit trails for compliance and anomaly detection.
- Ensure print infrastructure aligns with IT security standards.
Monitoring & Reporting
- Track device usage, print volumes, and cost allocation.
- Generate reports on usage trends, device health, and optimization opportunities.
- Monitor fleet performance and proactively address issues.
Qualifications
Required
- Experience with Windows print server administration.
- Handson experience with Canon MFDs and uniFLOW/Workflow solutions.
- Strong understanding of print drivers, queues, and network printing protocols.
- Familiarity with Active Directory and authentication methods.
- Experience coordinating equipment moves or site deployments.
Preferred
- Experience with document management systems (Therefore, SharePoint, etc.).
- Knowledge of PowerShell for automation.
- Understanding of network fundamentals (TCP/IP, DNS, SMB).
- Experience managing vendor contracts or equipment leases.
