Job Title: Personal Assistant (PA) to Director

Job Summary:
We are looking for a dynamic and highly organized Personal Assistant to provide executive and administrative support to the Director of a leading Builder Group. The candidate should be proficient in English and MS Office, capable of managing daily task updates, coordinating with project teams, consultants, vendors, and handling travel arrangements efficiently.
Key Responsibilities:
- Provide complete administrative and executive support to the Director.
- Maintain and update the Director's daily task list and ensure timely follow-ups on project-related activities.
- Coordinate with project managers, site engineers, architects, consultants, contractors, and vendors.
- Schedule and manage meetings related to ongoing and upcoming construction projects.
- Arrange site visit schedules and coordinate logistics accordingly.
- Handle ticket booking (air/rail), hotel reservations, and travel itineraries for business travel.
- Prepare project reports, presentations, MOM (Minutes of Meeting), and official correspondence.
- Draft professional emails and letters in English for clients, government authorities, and business associates.
- Maintain records of agreements, approvals, project documents, and important files.
- Track deadlines related to project approvals, compliance, and submissions.
- Assist in tender documentation and basic coordination for project proposals, if required.
- Handle confidential information with integrity and discretion.
- Perform other tasks as assigned by the Director from time to time.
Required Skills & Qualifications:
- Graduate in any discipline (Business Administration preferred).
- Excellent command of written and spoken English.
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong coordination and follow-up skills.
- Ability to manage multiple tasks in a fast-paced construction environment.
- Good communication and interpersonal skills.
- High level of professionalism and confidentiality.
Experience:
- 25 years of experience as PA/Executive Assistant, preferably in real estate, construction, or infrastructure industry.
