Position Overview

We are seeking a highly dependable, proactive, and organised Personal Assistant (PA) to the Director. The ideal candidate will have strong experience in the renewable energy sector, excellent communication skills, and the ability to seamlessly coordinate across departments. This role includes travel, office coordination, and end-to-end support for professional and administrative tasks. This is a high-trust role requiring maturity, discretion, and strong execution capabilities.

Key Responsibilities

1. Executive Support

  • Manage the Director's calendar, appointments, travel plans, and meeting schedules.
  • Prepare briefs, presentations, and follow-up notes before and after meetings.
  • Coordinate with internal departments (BD, Operations, Regulatory, HR, Finance) for smooth workflow.
  • Handle confidential information with integrity and professionalism.

2. Office & Administrative Coordination

  • Support day-to-day tasks at the office including documentation, filing, data tracking, and logistics.
  • Assist in managing departmental priorities and ensuring timely completion of assigned tasks.
  • Oversee timely communication between the Director's office and internal teams.

3. Travel & On-Ground Coordination

  • Accompany the Director for site visits, client meetings, and external engagements when required.
  • Manage travel itineraries, accommodation, logistics, and coordination during travel.

4. Communication & Interpersonal Handling

  • Draft emails, letters, and internal/external communications.
  • Liaise with clients, partners, vendors, and stakeholders professionally.
  • Follow up on pending tasks, deliverables, and commitments from various teams.

5. Sector-Specific Expertise

  • Understand renewable energy concepts such as open access, captive models, green energy, state regulations, and RE procurement.
  • Assist with research, documentation, and preparing notes on regulatory updates and sector developments.

Qualifications

  • Bachelor's degree in any discipline; preference for candidates with experience in sustainability/renewable energy.
  • Minimum 25 years of relevant experience supporting senior leadership.
  • Mandatory: Prior experience in the renewable energy / sustainability sector.
  • Strong communication (written + verbal), interpersonal skills, and professional presence.
  • Ability to multitask, prioritise, and deliver under pressure.
  • High proficiency in MS Office (Word, PPT, Excel) and digital tools.
  • Willingness to travel frequently.
  • Ability to work in a fast-paced, dynamic environment with strict confidentiality.
