Job Title : Personal Assistant (PA) to the Managing Director
Location : Kolkata (with coordination across multiple offices)

Role Overview : We are looking for a highly organized, proactive, and discreet Personal Assistant to the Managing Director. The role involves managing the MD's day-to-day professional commitments and acting as a key coordination point with internal teams, clients, and external stakeholders. During the Managing Director's absence, the PA will play a critical coordination role, ensuring smooth communication, follow-ups, and execution continuity.
Key Responsibilties :
Executive & Administrative Support
- Manage the Managing Director's calendar, meetings, travel, and appointments
- Prepare agendas, presentations, notes, and MIS reports
- Draft professional emails, letters, and internal communications
- Handle confidential information with discretion and integrity
Coordination & Liaison
- Act as a primary point of contact between the MD and internal teams (finance, legal, advisory, operations)
- Coordinate with clients, banks, financial institutions, consultants, and regulators
- Track action points, deadlines, and follow-ups across multiple projects
MD Absence Management
- Coordinate ongoing matters on behalf of the MD during his absence
- Ensure smooth communication flow and escalation of priority issues
- Follow up with teams and stakeholders to ensure timelines are met
- Support decision execution as per predefined directions
Operational Support
- Assist in document management, deal documentation, and process tracking
- Maintain records, databases, and filing systems
- Support ad-hoc tasks related to strategic initiatives and meetings
Required Skills & Competencies:
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- High level of professionalism, confidentiality, and judgment
- Ability to coordinate across senior stakeholders and teams
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Calm, composed, and solution-oriented under pressure
Preferred Qualifications:
- 36 years of experience as a PA / Executive Assistant / MD Secretariat role
- Exposure to financial services, investment banking, consulting, or corporate advisory is an advantage
- Experience working with senior leadership
