Job Title: Payroll Specialist – General Shift – Staffing Industry

Location: Bangalore (Onsite)

Experience: 2+ Years

Employment Type: Full-Time

Work Mode: 5 Days Work from Office (Mon–Fri) Shift Timing: 9:30 AM to 6:30 PM

About the Role

Kaygen Global Services is seeking a detail-oriented Payroll Specialist to manage end-to-end payroll operations, ensure statutory compliance, maintain payroll accuracy, and support employee payroll-related requirements while adhering to organizational policies and timelines.

Key Responsibilities

1. Payroll Processing & Administration

• Process monthly payroll accurately and within established timelines.

• Prepare payroll inputs including salary revisions, bonuses, arrears, and final settlements.

• Ensure accurate calculation of salaries, taxes, statutory deductions, and benefits.

• Maintain complete and accurate payroll records and employee master data.

2. Statutory Compliance & Taxation

• Ensure compliance with PF, ESI, PT, LWF, TDS, Gratuity, and applicable labor laws.

• Coordinate timely filing of statutory returns and regulatory submissions.

• Monitor payroll compliance requirements and implement regulatory updates.

• Maintain audit-ready payroll documentation and statutory records.

• Ensure adherence to organizational policies and payroll governance standards.

3. Employee Support & Coordination

• Resolve employee queries related to payroll, taxation, reimbursements, and payslips.

• Generate salary slips, tax statements, and payroll-related documentation.

• Support employee verification requests and payroll documentation requirements.

• Coordinate with HR and Finance teams for payroll-related activities.

• Ensure timely closure of payroll-related escalations and concerns.

4. Reporting & Reconciliation

• Prepare monthly payroll reports, MIS reports, and reconciliation statements.

• Reconcile payroll data with accounting and finance records regularly.

• Support internal and external audits through accurate payroll reporting.

• Monitor payroll accuracy and resolve discrepancies proactively.

• Ensure timely completion of payroll reporting and review activities.

5. Payroll Systems & Process Improvement

• Update employee information accurately within payroll and HRMS systems.

• Maintain payroll data integrity and system accuracy consistently.

• Support payroll automation and process improvement initiatives.

• Participate in payroll system enhancements and operational efficiencies.

• Contribute to strengthening payroll controls and best practices.

  1. Required Qualifications & Skills

• Bachelor's degree in Finance, Accounting, Human Resources, or related discipline required.

• 2–5 years of experience in payroll administration and payroll operations.

• Strong knowledge of payroll processing, statutory compliance, and labor laws.

• Hands-on experience with payroll software, HRMS platforms, and MS Excel.

• Good understanding of payroll taxation, deductions, and employee benefits.

• Strong analytical, problem-solving, and numerical accuracy skills.

• Strong analytical, problem-solving, and decision-making capabilities with attention to detail.

• Excellent communication, coordination, and stakeholder management abilities.

  1. Preferred Attributes

• Experience with SAP, ADP, Darwinbox, GreytHR, Keka, Zoho Payroll, or similar platforms.

• Strong organizational skills with a structured and process-driven work approach.

• Experience handling payroll audits, reconciliations, and compliance activities.

• Ability to manage confidential payroll information with integrity and professionalism.
