Payroll & Compliance Specialist

WHAT'S THE MISSION FOR THIS ROLE
The role will be responsible for ensuring accurate, timely payroll processing and full statutory compliance for employees across India. This role plays a critical part in maintaining adherence to labor laws, minimizing compliance risks, and delivering a seamless payroll experience to employees. The role will also ensure Employee Benefits are managed for the teams.
WHAT DOES THIS ROLE DO
Payroll Management
- Process monthly payroll endtoend, ensuring accuracy of salary calculations, variable pay, reimbursements, deductions, and statutory payments.
- Validate attendance, leave, shift and overtime data inputs from teams.
- Maintain and update employee payroll records, salary structures, and tax declarations.
- Engage with payroll vendor to ensure data accuracy and changes in payroll systems.
- Manage full and final (F&F) settlements for exiting employees.
- Coordinate with finance to reconcile payroll costs and ensure timely disbursement.
Compliance & Statutory Activities
Ensure 100% compliance with Indian statutory laws including:
- PF (EPFO)
- ESI
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Income Tax (TDS)
- Shops & Establishments Act
- Manage statutory filings, challans, inspections, and audits within deadlines.
- Stay updated on changes in labor and tax regulations, communicating impacts to stakeholders.
- Prepare and maintain statutory registers and documentation as per compliance requirements.
Employee Benefits Administration
Insurance
- Enroll new joiners to insurance - GMC, WCP, GPA and GTLI.
- Share addition & deletion monthly data to the insurer (GMC, WCP, GPA & GTLI).
- Co-ordinate with insurer for the yearly renewal and provide necessary support.
- Have monthly review calls with wellness partner & analyze the utilisation report.
- Organize onboarding / refresher sessions to the team.
- Address and assist employee's queries with regards claims & reimbursement.
- Plan and execute annual Health camps.
Meal Cards
Card Issuance & Activation
- Collect employee details for Pluxee card creation.
- Submit card request / bulk employee list to Pluxee portal.
- Distribute physical cards and share activation instructions.
- Ensure KYC compliance if required by Pluxee.
Lifecycle Management
- Update employee details for transfers, name changes, or card upgrades.
- Block or replace lost, stolen, or damaged cards.
- Support employees with Pluxee app setup and usage queries.
- Manage the organization's Pluxee dashboard.
- Upload employee master data.
- Enable/disable access for new joiners and leavers.
- Monitor card status (Active, Blocked, Sent for Replacement).
Reporting & Documentation
- Generate payroll reports: CTC sheets, variance reports, headcount reports, and audit-ready data.
- Support internal and external audits (statutory, financial, compliance).
- Maintain confidential and accurate records following dataprivacy standards.
Employee Support
- Resolve payroll-related queries (salary breakups, tax computations, pay slips, deductions).
- Educate employees on tax-saving options, declarations, and statutory benefits.
- Collaborate with HRBPs and managers to support employee lifecycle updates impacting payroll.
WHAT DO I BRING TO THE ROLE
- Bachelor's degree in HR, Finance, Commerce, or related field.
- 58 years of experience in Indian payroll & compliance operations.
- Strong understanding of Indian payroll laws and statutory compliance.
- Handson experience with payroll platforms (SAP SuccessFactors, ADP, etc.).
- Hands-on experience with Pluxee Platform (Sodexo).
- Advanced MS Excel skills (VLOOKUP, pivot tables, data analysis).
- High attention to detail, accuracy, and integrity in handling sensitive data.
- Ability to manage deadlines and handle multiple tasks efficiently.
- Strong communication and stakeholder-management skills.
- Experience working in a mid-size or large organization (preferred).
- Knowledge of state-specific labor laws and payroll requirements.
