About the Role
We're looking for an organized and proactive operations professional with 13 years of experience in operations, executive support, customer success operations, or administrative roles, along with working familiarity (or qualification) in finance.
In this role, you will support day-to-day invoicing, collections, and finance operations, while also helping coordinate internal operations and vendor workflows. Experience in SaaS or product companies is strongly preferred.
Key Responsibilities1. Billing, Invoicing & Collections (Primary Focus)
- Support end-to-end invoicing operations: invoice creation, validations, timelines, and dispatch to clients.
- Coordinate with internal teams to confirm billing triggers (e.g., subscription changes, renewals) and ensure billing accuracy.
- Track receivables and follow up on outstanding payments with clients in a professional and structured manner.
- Support and monitor payment collection workflows and reconciliation across tools (e.g., payment gateways or subscription billing platforms).
- Maintain weekly reporting on collections status, aging, pending invoices, and action items.
2. Admin & Office Operations
- Support day-to-day administrative operations including coordination, documentation, and internal process follow-through.
- Manage travel logistics end-to-end (bookings coordination, itinerary planning, vendor coordination, reimbursements support, and policy adherence).
- Support vendor onboarding: collect documentation, KYC/payment details, approvals, and onboarding into internal systems.
- Coordinate procurement and vendor management: obtain quotes, compare options, and help ensure timely renewals.
- Maintain vendor trackers: contracts, renewal calendars, SLAs, billing timelines, and points of contact.
- Support internal office operations including supplies, facilities coordination, and ad-hoc operational needs.
3. Process & Reporting
- Maintain operational trackers and dashboards for finance and customer success operations.
- Contribute to improving operational workflows, identifying automation opportunities, and maintaining tooling hygiene.
Qualifications & Skills
- 1+ year of experience in operations, executive support, CS operations, or administrative roles.
- Familiarity with finance workflows (e.g., invoicing, collections, billing operations) through coursework, certification, or hands-on experience.
- Strong communication skills for client interactions and follow-ups.
- Highly organized, detail-oriented, and comfortable managing multiple parallel workflows.
- Proactive and ownership-driven approach to problem solving.
- Interest in technology and working in fast-moving product or SaaS environments (preferred).
Tools & Systems
Experience with the following tools is a plus:
- Zoho (CRM / Books)
- Excel / Google Sheets (advanced proficiency preferred)
- Razorpay / Chargebee (subscription billing or payments)
- Ticketing or helpdesk tools
- Basic reporting dashboards
