As we scale rapidly with defence traction, investor onboarding, and multi-site operations (Delhi + Bengaluru), we need a high-ownership operations professional who can manage admin, accounts, and compliance workflows end to end.
Role Overview
We are looking for a smart, detail-oriented Operations, Accounts & Compliance Executive who can manage:
- Day-to-day administration
- Accounting support & bookkeeping
- Coordination with our CA, CS, & Legal teams
- Compliance documentation & tracking
- Vendor and payment workflows
- Investor documentation and filings support
- Office management and operations
This is a central role that ensures the entire organisation runs smoothly, compliances are met, documents are accurate, and all back-office operations are reliable.
Key Responsibilities
1. Admin & Office Operations
- Manage day-to-day office operations (leases, access, utilities, vendors)
- Liaise with managed office partners
- Manage travel bookings, vendor coordination, and schedules
- Maintain asset inventory, procurement logs & courier tracking
- Handle onboarding/offboarding checklists for employees and interns
2. Accounting & Financial Operations
- Track all payments, vendor invoices, and reimbursements
- Maintain expense sheets and monthly burn reports
- Prepare and share payment summaries for management approval
- Coordinate with CA for GST, TDS, payroll, and monthly filings
- Maintain accurate books in Zoho Books / Tally (training will be provided)
- Manage vendor databases, quotations, purchase orders, and receipts
3. Secretarial & Compliance Support
- Maintain all company registers: share capital, board documents, investor lists
- Coordinate with legal/CS for PAS-3, MGT-14, SH-7, SH-8, SH-12, SSHA, and other filings
- Organize documents for fundraising, share allotment, and investor communication
- Track compliance deadlines (ROC, GST, MCA filings, board meetings, AGM)
- Maintain signed agreements, NDAs, MoUs, employment contracts, etc.
- Prepare MIS reports for management reviewing compliance & accounting status
4. Investor & Documentation Management
- Maintain investor communication lists
- Assist in creating investor updates, email sharing, and document packaging
- Track receipt of funds, share certificates, courier acknowledgements
- Coordinate with consultants, advisors, and external partners
5. Operational Support Across the Company
- Support procurement for engineering teams (quotes, PO, payments, delivery follow-up)
- Track expenses related to R&D, testing site, office leases, and HR operations
- Maintain HR documentation, attendance logs, and policy documents
Required Skills & Experience
Must-Have Skills
- Strong experience (26 years) in admin, accounts, or operations roles
- Hands-on experience with Tally, Zoho Books, or similar software
- Strong documentation and organisational discipline
- Ability to manage compliance paperwork accurately
- Excellent written and verbal communication
- Strong follow-up & coordination ability
- High accountability and ownership mindset
Good-to-Have Skills
- Experience supporting CA/CS documentation
- Startup experience preferred
- Familiarity with GST, TDS, payroll, and expense management
- Ability to work with senior leadership and investors
- Comfort dealing with government portals (MCA, GST, EPFO, etc.)
