Background: We are working with Manulife, a leading global insurer. Manulife have recently announced a life insurance JV with Mahindra & Mahindra.

To support this new JV, Manulife are establishing a local entity, Manulife Services India (reporting into Manulife Asia), based in Mumbai, which will provide support and services to the JV business. They are now hiring the first roles into this new entity and so an exciting opportunity to build a business within a large established global organisation.

This role is ideal for experienced administrators, operations managers, skilled EAs or early career professionals seeking to learn within a fast paced corporate venture environment.

No Insurance sector experience is needed, this is a generalist role.

General Description:

The Office Manager will be responsible for overseeing the day-to-day administrative and operational functions of Manulife Services India Pvt. Ltd. This role ensures smooth office operations, adherence to company policies, and provides support to leadership and staff to maintain seamless business operations.

Key Responsibilities:

1. Office Administration:

- Manage overall office operations, including facilities, maintenance, and vendor coordination.

- Ensure compliance with health, safety, and security standards.

- Oversee procurement of office supplies and equipment.

2. Program Management Support:

- Monitor and manage key workstreams with agreed cadence of updates and follow-up on actions

- Coordinate, schedule and support meetings including agenda preparation and minutes documentation

- Oversee program deliverables and outcomes.

3. Travel & Logistics:

- Manage travel arrangements, accommodation and related logistics for employees and visitors.

- Oversee transportation services if applicable.

4. Vendor & Contract Management:

- Liaise with external vendors for services such as housekeeping, security, and maintenance.

- Negotiate contracts and monitor service-level agreements for quality and cost efficiency

5. Budget & Expense Management:

- Prepare and manage office administration budgets.

- Track and report expenses related to facilities and operations.

6. Employee Support & Engagement:

- Coordinate onboarding logistics for new employees (workstations, access cards, etc.).

- Organise office events and employee engagement activities.

7. Compliance & Governance:

- Ensure adherence to local statutory requirements and company policies.

- Maintain accurate records for audits and inspections.

Qualifications & Skills:

- Bachelor's degree in Business Administration, Management, or related field.

- 5+ years of experience in office administration or facilities management, preferably in a multinational environment.

- Strong organisational and multitasking skills.

- Excellent communication and interpersonal skills.

- Proficiency in MS Office

- Familiarity with office management software/tools. Knowledge of JIRA preferred

- Knowledge of local compliance and regulatory requirements.

- Strong vendor management and negotiation skills.

Reports To: AVP, Program Manager

Working Model: Hybrid (50/50 on-site and remote working)

Location: South Mumbai

Engagement Structure: This is a contract-to-hire opportunity. The selected candidate will initially be engaged on a 3-month contractual basis, after which the role is expected to convert into a permanent position with the organisation
