Role Overview
The L3 Collaboration resource is accountable for complex incident resolution, problem management, service stability, architecture/governance, capacity planning, and optimization across Helix's Collaboration Services: Email (Exchange/Outlook/M365), SharePoint (Online & On-Prem), Power Platform. This role leads major outages to resolution, owns RCA, defines monitoring policies, ensures compliance/security standards, and drives continuous improvement aligned with Helix's technology and architecture.
Key Responsibilities
1) Leadership & Governance
- Lead all Level 3 incidents and problem management for Collaboration environments; act as technical authority and escalation point.
- Communicate effectively (verbal & written) with Helix's IT leadership, End Users (as needed), and stakeholders; provide clear situational updates and decisions.
- Lead day-to-day interfacing with third parties under Helix's Collaboration software-related agreements.
- Open and manage problem cases/inquiries with cloud providers for service interruptions/performance issues; drive closure.
- Lead all service interruption/issue calls, orchestrate cross-functional resolution, and perform RCA with formal reporting.
- Define monitoring requirements and policies; approve procedures; oversee monitoring/reporting across environments.
- Ensure stability during deployments (minor upgrades, release maintenance, emergency fixes/patches); chair CAB/Change reviews as applicable.
- Participate in governance, roadmap alignment, capacity planning (Data/Software/Licensing), and service optimization in line with Helix standards.
2) General Collaboration Management
- Own tenant-level settings, policies, security configurations, transport rules, directory objects, and cross-workload integrations.
- Oversee identity protection and mail hygiene: MFA, Conditional Access interactions, DLP, data classification, encryption, auditing, retention/compliance workflows.
- Direct maintenance strategy and access reviews; conduct periodic tenant hygiene and risk assessments.
- Maintain high-quality architectural references, runbooks, SOPs, KBs; ensure currency and audit-readiness.
- Support high-impact outages to resolution, including adjacent/dependent services (e.g., LAN/WAN/carrier connectivity issues, switch port flapping) by coordinating with broader Helix teams.
3) Email (Exchange/Outlook/M365)
- Architect and oversee messaging across distribution lists, dynamic DLs, M365 Groups, and transport/connector policies.
- Govern staging/UAT/production for messaging; define testing strategies and release standards.
- Own Exchange hosted filtering, anti-spam/phishing/malware policies; tune controls based on telemetry and threat intelligence.
- Manage Exchange On-Prem replication design/health; plan upgrades and hybrid integrations.
- Define and maintain boundary-layer spam/content filtering rules per Helix's security policies.
- Approve and oversee server administration, software maintenance/upgrades/testing; ensure change success and rollback readiness.
- Recommend procedures, policies, and standards across email services (AD, Exchange, ActiveSync, OWA, LDAP, Sendmail alternatives, AV/AS/AP stacks).
4) SharePoint (Online & On-Prem)
- Lead information architecture, site lifecycle, governance, customization & development, integration with other systems.
- Direct migration services, search configuration & optimization, and performance optimization.
- Oversee training & enablement programs; ensure security, compliance & retention controls.
- Govern backup & recovery, end-of-life/legacy SP functionality solutions; periodically review and optimize database health.
- Ensure application versioning (current version & patch level) per Helix standards; approve change plans.
- Recommend and update site request/registration/lifecycle processes; drive automation where feasible.
5) Power Platform
- Maintain the Power Platform Center of Excellence (CoE); define environmental structure, DLP policies, and hygiene.
- Oversee documentation and access strategy; govern environments, connectors, solutions, and ALM.
- Guide users/teams for app launch issues; define standards for publishing to Teams.
- Ensure sandbox operability for testing; set performance/availability targets.
- Support and maintain M365 Copilot & Copilot Studio at scale (governance, permissions, data boundaries, telemetry).
7) Analytics & Reporting
- Drive monthly deep analysis of Collaboration environments; publish improvement opportunities and track execution.
- Generate simple and detailed reports synthesized across data sources; provide prudent insights (no raw data dumps).
- Ensure accurate maintenance/activity logging and audit-ready documentation.
Required Skills & Experience
- 9-14 years in enterprise Collaboration platforms with hands-on leadership across M365 (Exchange/Outlook), SharePoint (Online & On-Prem), Power Platform, MS Teams.
- Proven delivery of major incident leadership, RCA, problem management, capacity planning, and environment governance.
- Deep knowledge of security & compliance: MFA, Conditional Access, DLP, classification, encryption, retention/auditing, mail hygiene.
- Experience defining monitoring policies & procedures, platform architecture, release/change frameworks, and hybrid scenarios (e.g., Exchange On-Prem replication).
- Strong vendor & stakeholder management; excellent executive communication and documentation.
