Primary Duties & Responsibilities
- Laboratory Operations and Testing
- Analyse specimens, identify and classify microorganisms, and confirm medical
diagnoses through laboratory testing.
- Collect samples from OT, OPD (e.g., corneal scraping), and Lab, performing
procedures as per requests.
- Prepare sufficient media for OT sterilization and ensure proper sterilization
processes.
- Verify test results, sign off on reports, and ensure accuracy before dissemination.
- Program new reagent kits into machines and ensure proper functioning of reagent
kits and equipment.
- Conduct random checks on test procedures to maintain quality standards.
- Report critical test results to the concerned doctor promptly, seeking a second
opinion from an external lab if needed, while maintaining confidentiality.
- Supervision and Staff Management
- Supervise and manage all Laboratory Department activities, ensuring compliance
with organizational policies and standards.
- Schedule staff duties, approve leaves, and arrange coverage during absences, taking
over technician duties if necessary.
- Supervise student trainees duties and ensure their effective contribution to lab
operations.
- Conduct weekly department meetings to review targets and progress, preparing and
presenting status reports.
- Record-Keeping and Reporting
- Maintain accurate laboratory records, including microbiology and OT sterilization
registers, entering patient details and results in the prescribed format.
- Update test results in the Electronic Medical Record (EMR) system, provide
printouts to patients after verification, and share via email/WhatsApp if requested.
- Notify concerned doctors of test results and escalate critical findings as required.
- Prepare monthly reports for special tests sent to external labs, verify bills, and
forward them to the Accounts Department.
- Generate doctor-wise lab procedure payment reports monthly and submit them to
the Branch Manager (BM).
- Inventory and Equipment Management
- Monitor stock levels (daily, weekly, monthly) and check expiry dates of reagents and supplies.
- Prepare purchase orders for lab items, coordinate with the Purchase Department, and verify Goods Received Notes (GRN) upon delivery
- Hand over near-expiry items to the Purchase Department for timely action.
- Oversee calibration and annual maintenance agreements for lab equipment to ensure operational efficiency.
- Customer Service and Billing
- Communicate politely with patients, addressing queries and informing them of test costs via EMR.
- Enter bills into EMR, provide two copies to patients for payment, and collect one paid copy for records.
- Maintain a professional appearance by wearing a neat and clean uniform at all times.
- Educational Responsibilities
- Collaborate with the Education Department to deliver Microbiology classes for B.Sc. Optometry students, preparing and presenting relevant content.
- Quality Assurance and Problem Resolution
- Oversee quality assurance and quality control processes to uphold lab standards.
- Enter complaints into the task manager system, resolve them efficiently, and escalate unresolved issues to top management.
- Verify monthly stock reports, store requisitions, and indent forms, countersigning as needed.
- Target Achievement and Strategic Support
- Develop monthly, quarterly, and annual marketing schedules for the department to promote services.
- Work toward achieving departmental targets, consulting with doctors for guidance if targets are unmet.
- Support management strategies for target achievement and operational improvement.
