Marketing IT & Digital Asset Management Specialist (Virtual
Assistant)

Role Overview
We are hiring a highly organized and technically skilled IT-focused Virtual Assistant to support and manage the
technical backbone of our marketing department.
This role is responsible for digital asset management, system organization, platform access, tooling support, and
operational stability across all marketing channels.
This is a systems, structure, and control role focused on ensuring all marketing output is properly stored,
accessible, secure, documented, and scalable.
Key Responsibilities
Marketing IT Systems & Infrastructure
• Support and maintain marketing technology systems and tools
• Manage user access, permissions, and logins across platforms
• Ensure marketing tools are properly connected and functioning
• Troubleshoot basic technical issues across marketing platforms
• Coordinate with vendors or internal teams for escalations when needed
Digital Asset Management
• Own the organization of all marketing assets including creative, video, ad, web, and brand files
• Create and enforce standardized folder structures and naming conventions
• Maintain version control and archive outdated assets
• Ensure assets are easy to locate, labeled correctly, and up to date
Website & Web Asset Support
• Manage website files, plugins, and asset libraries
• Upload and organize web content and images
• Support landing page builds and updates (non-development)
• Track and document website changes and releases
SEO & Content Operations Support
• Organize SEO documentation, keyword files, and content libraries
• Maintain content calendars and publishing logs
• Track content status from draft to live
PR, Video & Creative Operations
• Maintain organized libraries for press releases, media kits, and PR placements
• Organize video footage, exports, and creative versions
• Track usage rights, versions, and distribution status
Social Media & Email Systems Support
• Manage asset libraries for social and email campaigns
• Ensure creatives are properly sized, labeled, and approved
• Maintain email template libraries and campaign archives
Paid Advertising & Funnel Asset Support
• Organize ad creative libraries by platform, campaign, and date
• Track which creatives are live, paused, or retired
• Maintain landing page asset documentation and UTM naming standards
Documentation & SOP Management
• Document all marketing systems, tools, and workflows
• Maintain SOPs for asset handoffs, storage standards, and access management
• Ensure new team members can onboard quickly into systems
Required Skills & Experience
• Experience as an IT support VA, operations VA, or systems assistant
• Strong understanding of digital file management and cloud storage
• Experience supporting marketing or creative teams
• Highly organized with strong attention to detail
• Strong written communication skills

• Speed and accuracy of asset retrieval
• Organization and cleanliness of digital asset libraries
• Reduction of lost, duplicated, or outdated files
• System uptime and issue resolution speed
• Completeness of documentation and SOPs
