Your key responsibilities
DWS is seeking a qualified applicant for the position of an events administrator in Pune. As Events administrator, you will assist the Events Manager on a national and international level with the strategic positioning of the Xtrackers brand through finance-related event channels.
Your responsibilities will include the following activities:
Planning, Negotiation and Coordination
Assisting with booking, planning, implementing and follow-up of any in person, hybrid or online event formats trade fairs, conferences, conventions, symposium, roadshows, online conferences and webinars. This includes collaborating with event organizers on all levelsfrom briefing through required logistics to execution.
Assuring close coordination with sales and product teams; consideration of the marketing strategy
Brand Integration
Assuring Xtrackers brand implementation in all event related channels, maximising our visibility.
Assisting with the selection, design and production of suitable advertising material according to the intended use.
Supporting the creation of online formats (e.g. social media posts, videos, images).
Assisting with the selection and production of adequate merchandising including the application of branding standards (CI).
Vendor Management
Liaising with external vendors and service providers including briefing, evaluating cost-estimates and executing on the implementation. Examples are the creation of exhibitions stands, catering, audiovisual equipment, and other necessary event services.
Onboarding and risk assessment (TPRM) of each vendor if required.
Registration Management
Supporting in setting up automated event data processes with the DWS event software Eventogy and the use of Salesforce / Salesforce Marketing Cloud. Collaborate with all involved stakeholders on the full value chain from setting up campaigns to evaluating post-event data.
Proprietary Webinar Support
Providing assistance during DWS / Xtrackers organized webinars to manage setup, troubleshoot issues, and ensure everything runs according to plan.
Communication:
Assist in acting as a point of contact for colleagues and attendees, answering queries, and providing information before, during, and after an event.
Technology Support:
Assisting with the a-z setup of proprietary webinars and organization of technical equipment at events
Budget Management
Assisting in evaluating offers / cost estimates, raising POs and settling invoices in adequate time; tracking event expenses and ensuring events stay within budget.
Feedback Collection
Gathering feedback from participants to evaluate the success of the event and identify areas for improvement.
Compliance and Risk Management
Ensuring that all events comply with relevant regulations and managing any potential risks associated with the event.
Post-Event Activities
Preparing reports on event outcomes and participant feedback.
These responsibilities may vary depending on the specific requirements and scale of the events being organized.
Your skills and experience
At least 2 years of experience in the organization of events or a similar role e.g. PA
Financial expertise in asset management as well as agency experience with knowledge of processes and procedures of advantage
Digital affinity and in-depth digital marketing knowledge preferred
Product knowledge of ETFs/ETCs of advantage but not required
Understanding of data analysis - Languages English is mandatory, fluent in both written and spoken; German or other languages are an advantage
