About the Role
We are seeking a sharp, proactive, and highly organised individual to serve as Chief of Staff – Office of Directors. This role sits at the nerve centre of our leadership team, supporting the Directors and Promotors in managing their time, information, and priorities effectively. You will not just execute tasks — you will anticipate needs, surface what matters, and ensure our leadership is always prepared, informed, and focused on decisions that move the business forward.
Key Responsibilities
Calendar & Schedule Management
• Own and manage the daily, weekly, and monthly calendars of Directors and Promotors
• Schedule, confirm, and prioritise meetings, appointments, and internal reviews
• Resolve scheduling conflicts proactively and protect focused time for high-priority work
• Send timely reminders and prepare Directors for upcoming commitments
Travel Arrangement & Coordination
• Plan and book all travel including flights, hotels, ground transportation, and visa requirements
• Prepare detailed travel itineraries with confirmations, contact details, and contingency options
• Anticipate travel disruptions and arrange alternatives where necessary
• Manage travel expense records and reimbursements in coordination with accounts
Meetings & Appointments
• Coordinate and organise internal and external meetings, board reviews, and stakeholder calls
• Prepare agendas, pre-meeting briefing notes, and relevant background documents
• Record minutes of key meetings and track action items to closure
• Follow up with attendees on pending actions and decisions on behalf of Directors
Information Management & Decision Support
• Proactively gather, compile, and present data, reports, and updates that Directors need to make informed decisions
• Monitor business dashboards, market developments, regulatory updates, and operational metrics — flagging what is critical
• Prepare concise briefing notes, summaries, and situation reports before key engagements
• Maintain a running awareness of business priorities and ensure Directors are never caught unprepared
Correspondence & Communication
• Draft, review, and manage emails, letters, and communications on behalf of Directors
• Screen incoming correspondence and highlight urgent or high-priority items requiring attention
• Liaise professionally with internal departments, external partners, clients, and government bodies on behalf of leadership
Books, Records & Administrative Support
• Maintain organised filing systems for Director-level documents, contracts, minutes, and agreements
• Manage and track key deadlines, renewals, compliance dates, and commitments on behalf of the office
• Coordinate with legal, finance, and HR teams to ensure Directors receive timely inputs
• Handle confidential information with the highest level of discretion and integrity
Proactive Business Awareness
• Stay informed about industry news, competitor activity, and regulatory changes relevant to the business
• Bring to the Directors notice any developments — internal or external — that require their awareness or action
• Identify patterns, risks, or opportunities from the information you manage and surface them at the right moment
Qualifications & Experience
Required
• Bachelor's degree in Business Administration, Management, Commerce, or a related field
• 1–3 years of experience in an executive support, administrative, or office coordination role
• Proficiency in calendar tools (Google Calendar, Outlook), office software (MS Office / Google Workspace), and communication platforms
• Strong written and verbal communication skills in English; Hindi or regional language proficiency is an advantage
• Exceptional organisational skills with high attention to detail and ability to multitask under pressure
• Discretion and confidentiality — this role handles sensitive business and personal information
Preferred
• Prior experience supporting C-suite, Directors, or senior leadership in a fast-paced business environment
• Familiarity with travel booking platforms, expense management tools, and ERP / business dashboards
• Ability to read basic financial reports, operational data, and summarise key insights for non-technical audiences
• Proactive mindset — someone who spots what needs to be done before being asked
