Job Description

We are looking for a Legal Project Coordinator to support the Legal team in coordinating the collection, organization and tracking of corporate and legal documentation across approximately multiple entities worldwide. This is a contractual position for 6-month duration.

This role is ideal for a structured and proactive professional who enjoys organizing complex information, interacting with international stakeholders and contributing to a fast-paced strategic project.

Key Responsibilities:

Documentation Coordination

  • Coordinate the collection of legal and corporate documentation across multiple international entities.
  • Identify and liaise with local contacts within legal, tax, finance, HR and operational teams
  • Proactively follow up with stakeholders to obtain requested documentation
  • Ensure documentation is collected within agreed timelines

Documentation Management

  • Organize and structure documentation within the internal document management system
  • Ensure documents are properly categorized, named and version-controlled
  • Maintain the overall quality and consistency of collected documentation

Project Tracking and Reporting

  • Maintain a centralized documentation tracker
  • Monitor the progress of document collection across entities
  • Provide regular status updates to the Head of Legal M&A
  • Escalate delays or missing documentation when necessary

Coordination with External Advisors

  • Support coordination with external legal advisors involved in the project
  • Assist in managing documentation requests and information flows

Profile

  • 23 years of professional experience
  • Experience in a law firm, consulting firm, legal department or project coordination role
  • Strong organizational and project coordination skills
  • Comfortable managing large volumes of documentation
  • Ability to work with international stakeholders

Languages:

  • English: Fluent
  • French language knowledge would be advantageous.

Tools:

  • Strong command of Excel and PowerPoint
  • Experience with document management systems or structured documentation processes is a must.

  • Strong communication and coordination skills
