Role Overview
The Lead Process Coordinator & Alumni Connect will support the operational backbone of the University of Bristol's Mumbai Enterprise Campus career development function. The role focuses on managing backend systems, maintaining accurate student and employer data, supporting placement cycles, and coordinating logistics across three undergraduate (3-year) and three postgraduate (1-year) programmes.
Key Responsibilities
Systems & Data Management
- Manage CRM platforms used for employer partnerships, job postings, and hiring pipelines
- Maintain student profiles, resumes, and data on LMS and career portals
- Ensure reliable and audit-ready data across systems
- Generate dashboards, trackers, and periodic reports
- Coordinate with IT partners or vendors for troubleshooting and workflow enhancements
Job Posting & Employer Coordination
- Upload, update, and monitor job postings and internship opportunities
- Ensure eligibility and role mapping across undergraduate and postgraduate programmes
- Liaise with recruiters to collect missing details and clarify requirements
- Maintain employer-related documentation and communication logs
Placement Operations & Logistics
- Coordinate logistics for campus placement drives, interviews, assessments, and corporate sessions
- Create and share schedules, shortlists, and process documents with recruiters and students
- Provide on-ground and virtual support during placement activities
- Maintain real-time process trackers during placement cycles
Reporting, Documentation & Class Profiles
- Prepare programme-wise and cohort-wise class profiles
- Compile recruitment reports, participation summaries, and placement status updates
- Maintain documentation required for internal reviews and external audits
Student Process Support
- Assist students with portal access, profile updates, and job application steps
- Follow up on incomplete documents, resumes, or profile information
- Support the delivery of career workshops, orientation sessions, and information briefings from an operational standpoint
Alumni connections and Business Development
- Supporting the Business Development team by scouting for opportunities
- Tapping into alumni networks by being their main point of contact for any university engagement activities and career support
- Exploring avenues for building industry partnerships through alumni connections
Required Qualifications & Skills
Education
- Bachelor's degree required
- Master's degree is a plus
Experience
- 6+ years of experience in career services, operations, CRM or LMS management, HR operations, education administration, or similar roles
- Prior experience with university systems or recruitment processes preferred
Technical Skills
- Strong command of Excel or Google Sheets and data reporting
- Working knowledge of CRM, LMS, ATS, or workflow management tools
- Ability to troubleshoot basic technical and user issues
