Key Responsibilities

Project Coordination & Scheduling

  • Plan, schedule, and coordinate project kickoff meetings, including participation from client and internal personnel.
  • Book and document Enterprise and Client internal project meetings as directed by the Project Manager, attend meetings, and publish minutes.
  • Monitor execution of Enterprise, Client , and accountspecific project tasks, following up and alerting the Project Manager on required actions.

Documentation & Repository Management

  • Maintain accountspecific documentation for each project, ensuring accuracy and accessibility.
  • Create and maintain the project repository in alignment with Client and account playbook requirements.
  • Manage and organize project documentation within the accountspecified tools.
  • Document, review, and enforce project management standards, templates, and best practices.

Project Planning & Reporting

  • Draft detailed project schedules, capturing tasks, timelines, and dependencies in the approved scheduling tool.
  • Update and maintain project schedules to reflect progress and changes through weekly followups with the Project Manager.
  • Draft highlevel communication plans to support stakeholder engagement and information flow.
  • Track project milestones, deliverables, and timelines to ensure alignment with the project plan.
  • Adhere to customerspecific weekly reporting cadences, tracking and managing artifacts such as action items, dashboards, and supporting documentation.

Change, Risk, and Issue Management

  • Document scope additions or modifications using the approved change request template.
  • Gather required information and prepare service/project change requests for Project Manager approval.
  • Document, track, and follow up on risks, actions, issues, and decisions based on Project Manager direction.
  • Alert and escalate aged or unresolved risks, issues, and pending decisions in accordance with escalation policies.

Quality Assurance & Performance Monitoring

  • Follow established processes to monitor and ensure quality and performance throughout the project lifecycle in alignment with the Project Management Plan.
  • Provide input on KPI and Quality Management Plan (QMP) monitoring.
  • Monitor, track, and alert on defect data and trends in collaboration with the testing team.

Data Validation & Reporting Support

  • Gather raw data from various workstreams, consolidate inputs, and format status reports according to account or delivery team requirements.
  • Validate raw data inputs to ensure accuracy across risks, issues, achievements, escalations, milestones, schedule status, and overall project health.
  • Assist in reconciliation of time tracking and funding, alerting the Project Manager to deviations.

Operational Support

  • Maintain and update project priority lists by account, delivery team, and overall Gainwell delivery, incorporating input from leadership.
  • Support ongoing project governance by ensuring documentation, reporting, and communication standards are consistently met.

Qualifications

  • Experience in project coordination, PMO support, professional services operations, or a similar role.
  • Strong organizational and timemanagement skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, project management tools, and collaboration platforms.
  • High attention to detail and a commitment to accuracy and quality.

Preferred Skills

  • Experience working within structured project management frameworks (PMBOK, Agile, etc.).
  • Familiarity with change management, risk tracking, and project governance processes.

Ability to work independently while supporting multiple stakeholders across a matrixed environment.
