Junior Executive Assistant to the CEO

Location: Remote

Compensation: 15,000 25,000 per month (based on experience)

Work Schedule: 6 days a week

Role Overview

We are looking for a Junior Executive Assistant to support the CEO in day-to-day coordination and scheduling. This role is ideal for someone who is organised, proactive, and detail-oriented, with the ability to manage calendars, coordinate meetings, and ensure smooth communication between teams and external stakeholders.

You will play a key role in ensuring the CEO's time is effectively managed and that meetings and follow-ups happen seamlessly.

Key Responsibilities

Calendar & Meeting Management

  • Manage the CEO's daily calendar(personal and official), including scheduling, rescheduling, and prioritizing meetings
  • Coordinate meetings with internal teams, vendors, and external partners
  • Ensure there are no scheduling conflicts and all meetings are aligned properly
  • Send calendar invites, reminders, and ensure all participants are prepared

Meeting Coordination

  • Confirm availability of stakeholders before scheduling meetings
  • Share meeting agendas (if required) and relevant documents in advance
  • Take brief notes during meetings and share key action points
  • Follow up with team members and vendors to ensure timely completion of tasks

Coordination & Communication

  • Act as a point of contact between the CEO and internal teams
  • Coordinate with vendors and team members for scheduling and updates
  • Ensure smooth communication flow and timely responses

Task & Follow-up Management

  • Track simple action items from meetings
  • Send reminders and follow-ups to ensure deadlines are met
  • Escalate delays or conflicts when necessary

Administrative Support

  • Assist with basic documentation, email drafting, and coordination tasks
  • Maintain records of meetings, schedules, and communications

Ideal Candidate Profile

  • 34 years of work experience in an administrative or coordination role
  • Experience managing calendars and scheduling meetings for senior stakeholders
  • Strong organisational and time management skills
  • Good communication (written and verbal)
  • Ability to multitask and handle multiple meeting requests
  • Detail-oriented and proactive in follow-ups
  • Comfortable working in a remote, fast-paced environment
