Job Description Accounts Executive

Role Summary
The accounts executive will be responsible for end-to-end accounting coordination of debtors and creditors, ensuring accurate ledger reconciliation, timely recording of receipts and payments, and proper documentation of vendors and customers. The role is critical for financial control, cash flow visibility, and compliance.
Key Responsibilities
- Debtors (customers) management:
- Maintain and reconcile customer (debtors) ledgers on a regular basis
- Enter and verify payment receipts (bank, cash, UPI, NEFT, RTGS, and cheques) in accounting software
- Track outstanding receivables and follow up for pending payments in coordination with the operations/collections team
- Ensure adjustment of advances, debit notes, credit notes, and TDS entries
- Prepare ageing reports of debtors and share with management
- Creditors (vendors) management:
- Maintain and reconcile vendor (creditors) ledgers
- Verify and reconcile vendor bills, invoices, PODs, freight bills, and supporting documents
- Ensure accurate booking of expenses and liabilities
- Process vendor payments as per the approval matrix and agreed credit terms
- Reconcile vendor statements and resolve discrepancies
- Payment & banking operations:
- Prepare payment summaries for customers and vendors
- Coordinate with banks for transaction tracking
- Record bank entries and assist in bank reconciliation statements (BRS)
- Ensure timely posting of payments and receipts in books
- Documentation & compliance:
- Maintain systematic physical and digital records of invoices, bills, and vouchers
- Support statutory compliance such as GST reconciliation, TDS tracking, and audit requirements
- Coordinate with auditors, consultants, and internal MIS teams when required
- Reporting & controls:
- Prepare daily/weekly receipts & payments status reports
- Assist in the monthly closing of accounts
- Highlight mismatches, delays, and high-risk accounts to seniors
- Follow internal accounting controls and SOPs
Education: B.Com/M.Com/CA Inter (preferred)
Experience: 05 years of experience in accounting, preferably in transport/logistics/trading/MSME environment
Technical Skills
- Knowledge of Tally/ERP/Accounting software
- Strong understanding of ledger reconciliation, receivables, and payables
- Basic knowledge of GST & TDS
- Proficiency in MS Excel
