Job Description

COMPANY INFORMATION

The Children's Garden School is a progressive learning community in Nagpur which is growing from a kindergarten to primary to now into a K–12 institution. Our approach to education is deeply child-centered, inquiry-driven, and rooted in experiential learning.

We are looking for an organised and approachable HR and Admin Professional to manage the people systems and daily operations that help our school run smoothly.

At TCG, HR and administration are not back-office functions. They are what allow teachers to teach and children to thrive. The role covers recruitment, onboarding, contracts, attendance, payroll coordination, and compliance. It also includes school administration: vendors, procurement, facilities, transport, records, and support for events and admissions.

The ideal candidate combines structure with sensitivity. They should be detail-oriented, calm under multiple priorities, and comfortable with spreadsheets and HR tools. They should communicate clearly in English and Hindi/Marathi. Experience in a school setting will be an

ROLE REQUIREMENTS

Essentials Criteria

  • Graduation or Post Graduation in Human Resources, Business Administration, or any related field (MBA/PGDM in HR preferred)
  • Experience of managing HR and administration in a school or educational institution
  • Working knowledge of Indian labour laws, statutory compliance (PF, ESI, gratuity), and payroll processes
  • Experience in recruitment, onboarding, and employee lifecycle management
  • Management, Administration, and Operations handling experience, including vendors, facilities, and procurement
  • Ability to build clear HR policies, processes, and documentation systems
  • Approachable, patient, and empathetic to the needs of staff, parents, and children
  • High level of integrity and discretion in handling confidential information
  • Business English, along with fluency in Hindi/Marathi
  • Good communication and interpersonal skills
  • Strong organisational skills and attention to detail
  • Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel), and familiarity with HR/payroll software

THE ROLE

HR Responsibilities

  • Manage end-to-end recruitment, onboarding, and induction of new team members
  • Maintain contracts, personnel files, attendance, and leave records accurately
  • Coordinate payroll, reimbursements, and statutory compliance (PF, ESI, gratuity, professional tax)
  • Draft and implement HR policies, handbooks, and SOPs
  • Support performance reviews, Annual Reviews, and professional development
  • Ensure staff background checks and safeguarding documentation are up to date
  • Be an approachable, discreet point of contact for staff and foster a positive workplace culture
  • Serve as a patient, compassionate role model for children and team members

Admin Responsibilities

  • Oversee day-to-day school operations, facilities, maintenance, housekeeping, security, and transport
  • Manage vendors, procurement, inventory, budgets, and expense records
  • Support admissions, enquiries, and parent communication
  • Plan and support school events, meetings, and Monthly Growth Conferences
  • Maintain well-organised physical and digital filing systems, tracking deadlines, renewals, and licences
  • Prepare regular reports for the leadership team
  • Uphold child safety and safeguarding practices at all times
  • Collaborate with educators, leadership, parents, and stakeholders, and take ownership beyond the core role
  • Practise conservation and sustainability, staying mindful of electricity and resource usage
