Job Title: HR Manager
Job Purpose
The HR Manager will be responsible for managing HR operations, attendance and payroll support, and statutory compliance under the Factory Act and labour laws, ensuring smooth workforce management for both internal employees and outsourced labour in the gifting industry.
Key Roles & Responsibilities:
1. HR Operations & Employee Lifecycle Management Manage employee records, personnel files, and HR documentation. Draft and implement HR policies, SOPs, and employee handbooks. Handle employee queries, grievances, and disciplinary actions. Manage confirmations, transfers, promotions, exits, and full & final settlements. Coordinate exit interviews and attrition analysis.
2. Attendance Management & Payroll Support Monitor daily attendance, shift records, overtime, and leave data for staff and labour. Ensure accurate attendance capturing through registers, biometric systems, or manual records. Attendance corrections and reconciliation before payroll processing. Coordinate with finance/payroll vendor for salary processing. Verify payroll inputs such as attendance, leaves, overtime, deductions, and incentives. Maintain salary, wage, and overtime registers.
3. Labour Management & Factory Act Compliance Maintain statutory registers under the Factory Act, including: Wage Register Overtime Register Leave with Wages Register Attendance Register Accident Register (if applicable) Coordinate with labour contractors and outsourced vendors. Ensure compliance with: Factory Act Minimum Wages Act Payment of Wages Act Contract Labour Act ESI & PF provisions (where applicable) Support labour inspections and audits. Ensure display of statutory notices and compliance documents at the workplace.
4. Vendor & Contractor Coordination Coordinate with staffing agencies and labour contractors. Verify contractor compliance documents, attendance, and wage disbursement. Track contract labour headcount and deployment.
5. HR Reporting & MIS Prepare and present HR dashboards on: Recruitment status Attendance & absenteeism Attrition & retention Compliance status Maintain HR MIS and statutory records for audits.

KRA 4: Contractor & Labour Management
KPIs: Contractor documentation compliance (%) Labour absenteeism rate Timely wage disbursement verification Smooth handling of labour issues
KRA 5: HR MIS & Reporting
KPIs: Timely submission of HR reports Audit readiness score
Skills & Competencies
Strong knowledge of labour laws and statutory compliance. Hands-on experience with attendance systems and registers. Excellent communication and stakeholder management skills. High attention to detail and documentation.Ability to manage blue-collar and white-collar workforce
