Job Title: Human Resources Executive – Payroll & HR Operations

About the Role
We are looking for a detail-oriented and proactive Human Resources Executive with hands-on experience in payroll processing and HR operations. The ideal candidate should have practical knowledge of Keka HRMS and be capable of managing end-to-end payroll, statutory compliance, employee lifecycle processes, and HR documentation while ensuring accuracy and confidentiality.
Key Responsibilities
Payroll Management
- Process monthly payroll accurately and within defined timelines.
- Manage payroll using Keka HRMS.
- Verify attendance, leave records, overtime, incentives, reimbursements, and salary revisions before payroll processing.
- Coordinate with the finance team to ensure timely salary disbursement.
- Prepare payroll reports, salary registers, and payroll MIS.
- Handle Full & Final (F&F) settlements.
- Manage employee salary structures, CTC revisions, and payroll-related documentation.
- Generate and share payslips, tax declarations, and payroll reports.
Keka HRMS Administration
- Manage employee onboarding and offboarding on the Keka portal.
- Maintain employee records, organizational hierarchy, attendance, and leave configurations.
- Update salary revisions, promotions, transfers, and employee information.
- Configure HR workflows and maintain HRIS data accuracy.
- Generate HR reports and dashboards from Keka.
HR Operations
- Handle employee onboarding documentation and induction formalities.
- Maintain employee files and HR documentation.
- Issue Offer Letters, Appointment Letters, Confirmation Letters, Experience Letters, Relieving Letters, and other HR documents.
- Support employee engagement and HR initiatives.
- Address employee queries related to payroll, leave, attendance, and HR policies.
Statutory Compliance
- Coordinate PF, ESIC, PT, LWF, TDS, and other statutory compliances.
- Ensure timely filing and maintenance of statutory records.
- Liaise with payroll vendors and consultants whenever required.
- Maintain compliance with labour laws and company policies.
HR Reporting
- Prepare monthly HR and payroll MIS reports.
- Maintain payroll reconciliations and audit-ready records.
- Support HR audits and statutory inspections.
Required Skills
- Hands-on experience with Keka HRMS is mandatory.
- Strong knowledge of payroll processing and payroll reconciliation.
- Understanding of PF, ESIC, PT, LWF, TDS, gratuity, leave encashment, and Full & Final settlements.
- Good knowledge of Indian labour laws and statutory compliance.
- Proficiency in Microsoft Excel (VLOOKUP, XLOOKUP, Pivot Tables, formulas, data validation, etc.).
- Excellent attention to detail and analytical skills.
- Strong communication and interpersonal skills.
- Ability to handle confidential employee information with integrity.
Preferred Qualifications
- Bachelor's degree in Human Resources, Commerce, Business Administration, or a related field.
- MBA/PGDM in Human Resources is preferred.
- 2–4 years of experience in HR Operations and Payroll.
- Prior experience using Keka HRMS is mandatory.
